Job Summary

The Procurement Specialist is responsible for initiating and revising purchase orders for inventory and non-inventory parts and services. This role ensures that procurement activities meet ERP system requirements and approved purchase requisitions, focusing on price, availability, and quality to fulfill organizational needs.

Key Responsibilities
  • Procurement and Sourcing: Obtain and confirm receipt of purchase orders from vendors. Follow up on open purchase orders to ensure timely and acceptable delivery dates.
  • Collaboration and Communication: Collaborate with production, warehouse, and requisitioners to communicate delivery dates and expedite orders as necessary to meet company requirements.
  • Supplier Management: Analyze quotations, negotiate prices and payment terms, and evaluate suppliers based on price, availability, and quality.
  • Purchase Order Management: Review purchase requisitions for accuracy and completeness. Obtain any missing information from requisitioners before placing orders.
  • Dispute Resolution: Address discrepancies between the company's purchase order prices and vendor invoice prices.
  • Return and Quality Management: Handle purchase order non-conformances and returns to vendors, including managing returns for credit or replacement and performing quality transactions within the ERP system.
  • Time Management: Effectively manage time and work independently with minimal supervision.
Requirements
  • Education: Associate's Degree or APICS certification (or in progress).
  • Experience: Minimum of 2 years in a Junior Buyer role.
  • Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
Language Skills
  • Language Proficiency: Ability to read, write, comprehend, and communicate effectively in English. Bilingual ability in Spanish at a business conversational level is preferred.
Mathematical Skills
  • Mathematical Proficiency: Proficient in applying arithmetic operations (PEDMAS), working with integers, fractions, and decimals. Ability to solve algebraic equations and transform word problems into solvable arithmetic formulae. Capable of converting units of measure for price comparisons.
