Position Title: Onsite Community Manager

Key Responsibilities

The Onsite Community Manager plays a pivotal role in overseeing the daily operations of the community. Reporting directly to the Portfolio Manager, this position requires extensive interaction with residents, management teams, and various committees.

  • Record Keeping: Maintain comprehensive records and reports in both physical and digital formats, including property and homeowner documentation.
  • Policy Implementation: Ensure adherence to Association and Management policies while fostering effective communication among residents.
  • Staff Supervision: Oversee maintenance personnel and site staff, ensuring the execution of general maintenance tasks, including:
    • Basic carpentry and repair work
    • Gardening and lawn care
    • Drainage and painting tasks
    • Drywall repairs as required
    • Vehicle maintenance
    • Gutter cleaning and pest control
  • Contract Management: Ensure compliance with contracts and oversee contractor activities, including drafting specifications and assisting in bid reviews.
  • Project Coordination: Manage project notifications and maintain a proactive approach to daily maintenance requests, prioritizing emergency repairs.
  • Property Oversight: Conduct regular inspections of the property and units, assisting with insurance claims as necessary.
  • Meeting Participation: Attend Board meetings and address resident inquiries and concerns effectively.
  • Budget Management: Maintain files and assist in preparing the annual budget while ensuring compliance.
  • Emergency Response: Be available for on-call emergencies, ensuring prompt resolution of issues.
  • Reporting: Generate monthly management reports and other documentation as required by the Portfolio Manager.
  • Additional Duties: Perform other responsibilities as assigned by the Portfolio Manager.
Qualifications
  • Strong project management capabilities
  • Understanding of contract and client management principles
  • Previous supervisory or onsite management experience is preferred
  • Proficiency in Microsoft Office Suite and relevant applications
  • Basic skills in carpentry, plumbing, electrical work, drywall, and painting
  • Ability to work independently and collaboratively
  • Strong troubleshooting and problem-solving skills
  • Effective verbal and written communication skills
  • Willingness to learn and enhance skills continuously
  • Ability to work respectfully with residents and team members
  • Basic knowledge of technology, including smartphones and email
  • Commitment to safety and proper handling of materials
  • Capability to delegate tasks and ensure completion
  • Ability to mentor and motivate team members
  • Regularly assess property conditions for maintenance needs
