General Summary:
The Healthcare Operations Manager is accountable for overseeing the daily operations of all clinics. This role includes managing a team of Patient Services Representatives, Supervisors, and Managers, as well as Patient Services Representatives and Call Center Operators. The Healthcare Operations Manager is tasked with supervising staff and delegating responsibilities throughout the clinic to ensure that tasks are executed correctly, promptly, within budget, and in compliance with quality and regulatory standards.
- Effectively utilizes personnel resources to plan, organize, and coordinate the daily operations for each clinic.
- Addresses patient complaints and concerns appropriately.
- Responds to patient grievances.
- Responsible for the selection, orientation, training, and discipline of staff.
- Monitors clinic flow and collaborates with various departments to ensure smooth patient flow.
- Supervises Clinic Managers and assists with the implementation of clinic policies and procedures.
- Aids in onsite required training to meet audit standards.
- Supports the training of Patient Services Managers, Clinic Managers, Front Desk staff, Benefits Counselors, Patient Service Center staff, and Telephone Operators.
- Acts as a liaison on behalf of the COO with the Chief Medical Officer, Clinical Director, Clinic Managers, Facilities Manager, and other clinic staff members.
- Tracks monthly productivity to achieve financial objectives.
- Coordinates all clinic operational events with various departments.
- Oversees all aspects of facility quality reviews, including but not limited to audits, monthly safety assessments, and chart reviews.
- Establishes productivity standards for the clinics.
- Ensures compliance with all Federal HRSA, State and County Health Departments, and other governmental and public/private audit requirements.
Qualifications:
- Bachelor's degree required.
- Demonstrated knowledge of safety, infection control, and emergency policies and procedures.
- Knowledge of office equipment, medical terminology, customer service, and some medical billing experience is required.
- Minimum of three (3) years of clinical experience in a primary healthcare clinic, FQHCs preferred.
- At least five years of experience in Quality Plans, Safety & Risk, and medical coding is essential.
- Minimum of three years of supervisory experience is required.
- Preferred experience with OSHA Safety/Environmental guidelines and regulations.
- Must be able to communicate effectively in English and Spanish, both verbally and in writing.
