Job Description

The Front Office Administrator plays a pivotal role in representing our company's image and ensuring a seamless experience for visitors, employees, and guests. This position requires a highly organized and detail-oriented individual who can multitask with ease.

Key Responsibilities
  • Oversee daily operations, including managing office logistics and coordinating with vendors.
  • Ensure new hires have the necessary equipment, business cards, and office badges.
  • Manage relationships with the building property management office and landlord.
  • Coordinate repair and maintenance for office equipment.
  • Administer the phone platform, programming VOIP phones for new hires.
  • Book and manage conference rooms for business meetings.
  • Order and maintain office supplies.
  • Liaison with visitors to coordinate logistics for hotel rooms and transportation.
  • Collect and distribute mail from the corporate office mailbox.
  • Coordinate the assembly, packaging, and shipping of outgoing packages.
  • Manage interactions with external vendors, including catering companies and equipment service providers.
  • Supervise the distribution of supplies for break rooms, private spaces, and meeting spaces.
  • Designated as the company Fire Marshall, ensuring first responders are contacted for in-office emergencies.
  • Monitor and manage secure doors to allow entry for all visitors.
  • Manage and distribute incoming shipments for onsite executives.
Requirements
  • 8-10 years' experience in a highly visible and cross-functional role.
  • Ability to interface with multiple levels of the organization, vendors, and clients.
  • Maintain a professional and calm demeanor in a high-paced environment.
