POSITION SUMMARY:

The Operations Strategy Specialist plays a crucial role in assisting the Operations Manager with the management of Global Grants, overseeing financial commitments through pledging, conducting monthly financial assessments, and managing invoices and payments, as well as budget planning for Ministry Partnerships. This position is vital in ensuring that the operations of Ministry Partnerships align with the policies and procedures of the American Bible Society (ABS) through effective training, communication, and support.

KEY RESPONSIBILITIES:

1. Global Grant Management & Pledging Assistance

  • Facilitate the processing of financial grants for United Bible Societies (UBS) as directed by the Operations Manager, including entering grant pledges into the UBS Solomon system.
  • Manage direct grant payments to external partners, which involves:
    • Preparing payment documentation with necessary supporting materials.
    • Securing required signatures in line with ABS Signature Authority Policy.
    • Entering payments into the Kwiktag system/Enterprise Resource Planning (ERP) system for Finance processing.

2. Monthly Financial Assessment

  • Support the Operations Manager in tracking the financial performance of Ministry Partnerships through budget versus actual reports generated by Finance.
  • Investigate expenses and credits on the monthly UBS live report and facilitate billing for departments.
  • Identify and analyze financial variances, reporting findings to the Operations Manager.
  • Evaluate Ministry Partnerships (MP) budget for efficiency upon request.

3. Invoice Management

  • Collaborate with the Operations Manager in processing non-grant payments and invoices, which includes:
  1. Preparing payment documentation with necessary supporting materials.
  2. Obtaining required signatures in accordance with ABS Signature Authority Policy.
  3. Entering payments into the Kwiktag system/ERP system for Accounts Payable processing.

4. Budget Development Support

  • Assist the Senior Director of Finance Planning and Analysis (FP&A) and Operations Manager in developing the annual budget and revised budget for assigned ministry areas.
  • Update departmental budget templates for assigned areas in FP&A's Vena tool or ERP as directed.

5. Additional Responsibilities

  • Conduct research in the Solomon project database and Blackbaud/SalesForce CRM as assigned.
  • Participate in weekly gift review meetings.
  • Engage in special projects as assigned by the Operations Manager.

ESSENTIAL QUALIFICATIONS:

  • Passion for the mission of making the Bible accessible and transformative.

  • Ability to work collaboratively as a strong team player.
  • Excellent communication skills with a focus on customer service.
  • Capability to produce clear and concise reports.
  • Strong organizational, implementation, and time management skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Self-motivated with a knack for identifying and resolving issues.

EDUCATIONAL REQUIREMENTS:

  • Bachelor's degree required.
  • 5+ years of administrative experience with proven success.
  • Experience in bookkeeping, budget creation, proposals, and reporting is advantageous.
  • Proficiency in MS Office applications, including Excel, Word, PowerPoint, and Teams.

WORKING ENVIRONMENT:

This position is office-based with occasional domestic travel required. Core working hours are from 8:30 AM to 5:00 PM.
