Job Overview

Position Summary: The Construction Project Coordinator will oversee and facilitate the successful execution of all project turnover and closeout processes. This role is essential in ensuring that all project closeout activities are completed efficiently, including the organization of maintenance plans and operation manuals, and the effective transition of projects to the maintenance team. The Coordinator will also provide support during pre-construction and construction phases, which may encompass schedule management, compliance tracking, cost estimation, punch list oversight, commissioning, and warranty management. The Coordinator will be engaged in all ongoing projects managed by the Construction Department.

Key Responsibilities:

  • Assist staff in managing various assignments within a large-scale district portfolio.
  • Conduct thorough walkthroughs for interior, exterior, roofing, and commissioning to identify deficiencies during the substantial completion and turnover phases.
  • Coordinate the turnover of keys, utilities, and attic stock.
  • Monitor and manage the delivery of all project turnover documentation and records.
  • Oversee warranty walkthroughs to ensure all noted deficiencies are addressed and resolved during the warranty period.
  • Review all operations and maintenance manuals and warranties to verify the submission of all required documentation.
  • Facilitate the input of information into the Building Maintenance Plan (BMP) for historical projects, ensuring its integration into the Computerized Maintenance Management System (CMMS).
  • Generate deliverables such as reports, presentations, budgets, and schedules tailored to meet project requirements.
  • Collaborate with operations and maintenance teams to schedule and ensure attendance for necessary training sessions.
  • Act as a liaison between project teams and internal operations and maintenance to share insights on lessons learned and future improvements.
  • Implement quality control measures to guarantee that all deliverables are accurate and timely.
  • Manage the facilities' shared drives containing all turnover documentation and records.
  • Maintain confidentiality of sensitive information.
  • Ensure compliance with equal employment and non-discrimination policies, adhering to all relevant laws and regulations.

Qualifications:

  • Bachelor's degree in architecture, construction management, economics, finance, urban planning, real estate management, or a related field.
  • 3-5 years of experience in project coordination, including project management.
  • 3-5 years of experience in building construction, systems, and operations.
  • Strong understanding of project management principles and industry standards.
  • Ability to leverage technology for planning and implementation tasks.
  • Self-motivated with excellent organizational skills.
  • Strong analytical and critical thinking skills.
  • Proficient in managing multiple projects and aligning them with overall strategic goals.
  • Exceptional verbal and written communication skills, including public presentation capabilities.
  • Proficient in Microsoft Office Suite and other technical applications.
  • Ability to exercise independent judgment and conduct research effectively.
  • Strong interpersonal skills to foster collaborative relationships with stakeholders.
