Job Overview

Objective: The Volunteer Coordinator plays a pivotal role in managing the Volunteer Program, which is essential for the effective delivery of the organization's services. This position is tasked with the development, recruitment, training, coordination, scheduling, oversight, and documentation of all volunteer-related activities, community interactions, and events.

Key Responsibilities:

  • Establishes and executes goals and objectives for the volunteer program that align with the organization's mission and values.
  • Oversees the Volunteer Program CRM system and provides training to staff on its functionalities.
  • Conducts continuous assessments of volunteer-delivered programs and services, implementing enhancements as necessary.
  • Manages data collection and reporting for the Volunteer Program, sharing insights with relevant staff members.
  • Ensures adherence to volunteer data requirements set by funding organizations regarding the management and tracking of volunteers.
  • Facilitates the distribution and collection of satisfaction surveys related to shelter and meal services.
  • Leads the onboarding and training processes for new volunteers.
  • Engages with volunteers to enhance their overall experience.
  • Directs all communication efforts related to volunteers.
  • Develops and refines systems and procedures for volunteer assignments, including role descriptions and scheduling.
  • Identifies needs and opportunities for volunteer involvement in collaboration with other staff to improve service delivery.
  • Creates and maintains calendars for volunteer activities and scheduling across all program areas.
  • Collaborates with staff to ensure a safe and positive environment for volunteers.
  • Organizes on-site volunteer opportunities for individuals and groups.
  • Plans and executes both formal and informal recognition events to celebrate volunteer contributions.
  • Builds and sustains relationships with community organizations, including educational institutions, agencies, and corporate partners.
  • Promotes the volunteer program within the community to garner support for both the program and the organization.
  • Conducts volunteer recruitment and training, including the creation of marketing and training materials.
  • Represents the organization at various community events and speaking engagements.
  • Develops and updates volunteer agreements, ensuring volunteers acknowledge their consent.
  • Assists the Development Team and other staff with event planning and execution of special events.
  • Stays informed about current trends and resources related to volunteerism.
  • Performs additional duties as assigned by the supervisor.

Qualifications:

  • A Bachelor's Degree is preferred, or an equivalent combination of education, training, and experience.
  • A minimum of three years of experience in volunteer program management or a related field.
  • Exceptional written and verbal communication skills.
  • Experience in delivering presentations to diverse audiences.
  • Ability to work a full-time schedule, including weekends as needed.
  • Event planning experience is advantageous.
  • Knowledge in areas such as substance abuse, mental health, or co-occurring disorders is beneficial.
  • Strong relationship-building skills with staff, volunteers, and community members.
  • Ability to work independently while being organized and detail-oriented.
  • Effective communication skills, both written and verbal, in English.
  • Proficiency in Microsoft Office Suite and database management.
  • Skills in data analysis and report preparation.

Work Environment:

This position primarily operates in an office environment, with occasional community engagements. The role may involve varying temperatures and noise levels.
