Job Overview

Objective: Manage the Volunteer Initiative aimed at enhancing the delivery of organizational programs and services. The Volunteer Coordinator will be tasked with developing, recruiting, training, expanding, coordinating, scheduling, overseeing, and documenting all volunteer-related activities, community engagements, and events.

Key Responsibilities:

  • Establishes and executes goals and objectives for the volunteer initiative that align with the organization's values and mission.
  • Oversees the Volunteer Program CRM system and provides training to staff on its functionalities.
  • Conducts regular assessments of programs and services provided by volunteers, implementing enhancements as necessary.
  • Responsible for collecting and reporting Volunteer Program data, sharing insights with key staff members.
  • Ensures adherence to volunteer data requirements set by various funding bodies concerning the management and tracking of volunteers.
  • Facilitates the distribution and collection of satisfaction surveys related to shelter and meal services.
  • Leads the onboarding and training processes for volunteers.
  • Provides ongoing support and follow-up with volunteers to enhance their experience.
  • Manages all communications with volunteers.
  • Develops and revises systems and procedures for volunteer assignments, including position descriptions and schedules.
  • Identifies needs and opportunities for volunteer involvement in collaboration with other staff to improve service delivery.
  • Creates and maintains calendars for volunteer activities and scheduling across all program areas.
  • Collaborates with staff to ensure a safe and positive environment for volunteers.
  • Organizes on-site volunteer opportunities for individuals and groups.
  • Plans and executes formal and informal recognition activities to acknowledge volunteer contributions.
  • Builds and maintains relationships with community organizations, including educational institutions, agencies, and corporate partners.
  • Promotes the volunteer initiative within the community to garner support for the program and the organization.
  • Conducts volunteer recruitment and training, including the development of marketing and training materials.
  • Represents the organization at various community events and speaking engagements.
  • Creates and updates volunteer agreements, ensuring compliance and consent from volunteers.
  • Assists the Development Team and other staff with event planning and execution of special events.
  • Stays informed about current trends and resources related to volunteerism.
  • Performs additional duties as assigned by the supervisor.

Qualifications:

  • Bachelor's Degree preferred, or an equivalent combination of education, training, and experience.
  • A minimum of three years of experience in volunteer program management or a related field.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Experience in presenting to diverse audiences.
  • Ability to work a standard 40-hour week, with potential for extended hours as needed.
  • Event planning experience is a plus.
  • Knowledge in areas such as substance abuse, mental health, or co-occurring disorders is beneficial.
  • Ability to build and maintain positive relationships with staff, diverse populations, and external stakeholders.
  • Strong organizational skills and attention to detail.
  • Effective communication skills, with proficiency in English and various communication tools.
  • Proficient in Microsoft Office Suite and database management.
  • Ability to analyze data and prepare reports and presentations.

Work Environment:

The work environment is primarily office-based, with varying temperatures and noise levels. Duties may also require community engagement through meetings and presentations.
