As the Site Operations Manager, you will oversee the comprehensive management of our healthcare facility, ensuring optimal operational efficiency and staff performance. Your role is pivotal in implementing effective systems that promote high-quality care while maintaining fiscal responsibility.

Key Responsibilities

  • Gather, organize, and disseminate data to facilitate ongoing operational improvements.
  • Monitor factors influencing patient experiences, ensuring positive interactions within the healthcare environment.
  • Inspire and guide team members to consistently deliver exceptional patient care and experiences.
  • Evaluate site and departmental expenditures to enhance operational cost-effectiveness.
  • Review financial reports to identify discrepancies and address specific cost concerns.
  • Conduct performance evaluations for direct reports, providing constructive feedback.
  • Administer timely counseling and disciplinary actions as necessary, in collaboration with HR.
  • Enforce organizational policies and procedures relevant to the site, including compliance with funding requirements.
  • Assess site productivity and recommend strategies to improve patient attendance and flow.
  • Maintain regular communication with clinical and operational leadership to address site-specific challenges.
  • Facilitate monthly operational meetings, ensuring thorough documentation and follow-up.
  • Encourage site supervisors to hold regular departmental meetings, maintaining accurate records.
  • Engage in monthly reviews of audit results and track progress on specific initiatives.
  • Participate in various committees and task forces, sharing vital information with relevant stakeholders.
  • Oversee billing encounter tracking and reconcile discrepancies in daily cash receipts.
  • Manage support staff alongside site supervisors, focusing on recruitment, training, and performance management.
  • Ensure that all departments deliver effective services to patients and providers.
  • Collaborate with specialty coordinators to evaluate the effectiveness of specialized services.
  • Promote effective communication and teamwork among staff to enhance satisfaction levels.
  • Make informed decisions regarding hiring, promotions, and disciplinary actions.
  • Identify training needs and advocate for professional development opportunities.
  • Conduct departmental meetings to foster communication and teamwork.
  • Assess staff performance and provide guidance to help them reach their full potential.
  • Keep staff informed about organizational developments and promote our mission and objectives.

Qualifications

Education and Experience

  • Bachelor's degree or equivalent experience in a related field.
  • A minimum of three years in a supervisory role, preferably within a healthcare environment.
  • Completion of Project Leap is preferred.
  • Bilingual candidates (English/Spanish or English/Arabic) are preferred.

Essential Skills and Abilities

  • Strong verbal and written communication skills, with attention to detail.
  • Ability to interpret various forms of instructions effectively.
  • Familiarity with different payer sources, such as Medi-Cal and Medi-Caid, is advantageous.
  • Proficient in managing multiple tasks simultaneously.
  • Excellent organizational and planning skills.
  • Ability to work collaboratively as part of a team and independently.
  • Commitment to handling confidential information with professionalism.

Physical Requirements

  • Ability to stand for extended periods.
  • Capability to walk long distances between work areas.
  • Physical ability to lift and move objects as needed.
  • Ability to view and interpret information on a computer screen.
  • Willingness to work in typical healthcare clinic conditions.

Salary range: $88,200-$114,400 annually, depending on experience.
