Work Schedule: Monday to Friday, with hours ranging from 8 AM to 6 PM.

Key Responsibilities:

We are in search of a professional, engaging, and motivated individual with outstanding interpersonal and communication skills. In this role, you will be essential to the smooth operation of our practice and will significantly influence the patient experience through your courteous, professional, and attentive interactions. Your responsibilities will include:

  • Welcoming patients and managing their check-in and check-out processes.
  • Entering new patient data into our systems and verifying the accuracy of patient records.
  • Ensuring all necessary signatures are collected and processing payments as required.
  • Coordinating patient flow through the office and assisting with billing and insurance inquiries.
  • Scheduling appointments and maintaining patient charts along with various administrative duties.

Essential Duties:

  • Provide a warm and professional greeting to each patient.
  • Manage phone calls, appointment scheduling, and referrals.
  • Take clear and concise messages.
  • Accurately input patient demographic information during appointment scheduling.
  • Review patient charts to confirm all information is complete and signed.
  • Oversee patient check-in and check-out processes.
  • Monitor the reception area and communicate with patients as necessary.
  • Proactively collect payments from patients.
  • Update inventory on a weekly basis.
  • Treat all patients with respect and empathy.
  • Process inventory orders as needed.
  • At the end of the day, generate reports and balance payment totals.
  • Distribute incoming correspondence and reports within patient charts.
  • Address all phone messages, faxes, and interdepartmental mail promptly.
  • Assist colleagues as required.
  • Perform additional duties as assigned by management.

Qualifications:

Education and Experience:

  • High School Diploma or GED (required).
  • 1-3 years of recent experience as a Medical Receptionist in a clinical or surgical environment (preferred).
  • Prior experience in a dermatology setting (preferred).

Skills and Abilities:

  • Exceptional customer service and communication abilities.
  • Familiarity with HIPAA regulations.
  • Capability to manage multiple tasks simultaneously.
  • Strong organizational and time management skills.
  • Able to thrive in a fast-paced and occasionally stressful environment.
  • Detail-oriented with a strong focus on accuracy.
  • Proficient in operating a multi-line phone system.
  • Competent in using standard office equipment (e.g., computer, fax, copier, scanner).
  • Intermediate computer skills and experience with EMR systems.
  • Fluency in English.
  • Able to sort and file materials accurately, both alphabetically and numerically.
  • Willingness to travel to and provide coverage for other local offices as needed.

Physical Requirements:

  • Ability to sit for extended periods, with some standing, stooping, and reaching.
  • Manual dexterity sufficient for keyboard operation.
  • Correctable vision to 20/20 and normal hearing range for telephone communication.
  • Capability to lift and carry items weighing up to 30 pounds.
