The Administrative and Event Management Specialist plays a crucial role in supporting the educational, research, and service initiatives of departmental programs. This position entails providing comprehensive administrative and financial support to faculty members involved in various research groups within the department. The incumbent will independently organize and oversee the financial aspects of numerous prestigious events hosted by the Department of Computer Science throughout the year.
This role involves close collaboration with the Graduate School and the Office of International Student Scholar Services to facilitate the welcoming of undergraduate visiting student interns and graduate student visiting research fellows.
Qualifications and Experience:
- A Bachelor's degree accompanied by 1-2 years of relevant experience or an equivalent combination of education and experience.
- Preferred experience in financial and outreach coordination, particularly within an academic higher education environment.
- Demonstrated ability in organizing large-scale events attended by faculty, students, alumni, and distinguished colleagues from other institutions.
- Exceptional interpersonal, verbal, and written communication skills to effectively gather and convey information, as well as to prepare and present clear, informative, and concise materials.
- Proficiency in document preparation, spreadsheet, and database software (Excel and Google Sheets).
- Strong command of Microsoft Office applications (Word, PowerPoint), web-based tools, Gmail, and related Google applications, FileMaker, and Adobe Acrobat Pro.
- Ability to manage sensitive matters with discretion and diplomacy.
- Capacity to work autonomously while escalating issues as necessary.
- Commitment to maintaining confidentiality.
