Role Responsibilities

The Marketing and Communications Specialist plays a vital role in advancing the objectives of the Marketing and Communications Department, aiding the team in optimizing processes and coordinating initiatives within the broader Advancement Division. This position encompasses light administrative duties, such as overseeing general office operations and managing invoice and budget tracking, while also providing project management and marketing assistance by:

  • Facilitating internal communications within the department and with division partners.
  • Updating web content and monitoring analytics.
  • Tracking key performance indicators for the department.
  • Maintaining and organizing the photo library and other departmental databases.
  • Executing basic writing tasks.


The Marketing and Communications Specialist is responsible for processing invoices for payment, monitoring expenses, assisting in budget oversight, preparing expense reports, and identifying cost-saving measures. Additional administrative tasks include:

  • Maintaining records and files.
  • Scheduling appointments and organizing meetings.
  • Managing incoming and outgoing correspondence.
  • Overseeing departmental office supplies.
  • Utilizing and maintaining office equipment, including printers and computers.


This role also involves project management and coordination, which includes:

  • Updating and managing project calendars.
  • Communicating with College partners.
  • Tracking essential departmental technology.
  • Assisting with copywriting and content creation as needed.


The Marketing and Communications Specialist will manage the digital asset management system and video library, provide support for the Trello project management tool, and update website content while tracking relevant analytics, with increasing responsibilities as skills develop.

Furthermore, this position entails preparing and distributing recurring email campaigns, collaborating with the team in brainstorming sessions for various projects, and maintaining professional relationships with faculty, staff, students, and the public.

Essential Qualifications
  • Bachelor's degree required.
  • One to two years of experience in a marketing specialist or coordinator role or similar.
  • Experience in a service-oriented position that requires strong interpersonal communication and problem-solving abilities.
  • Exceptional organizational skills.
  • A proven ability to respond to requests and proactively support program and project needs in a fast-paced environment.
  • Detail-oriented with effective written and verbal communication skills.
  • The capability to project a positive and professional public image.
  • Proficiency in social media and web-based applications, including Google Analytics.
  • A willingness to learn new skills, including the Drupal website platform, Trello, Sprout Social, iModules, Resource Space, and other team software and cloud-based tools.
  • Working knowledge of Google, Microsoft Office, and Adobe Creative Suite, including Photoshop.
  • Proficiency on both Macintosh and PC platforms.
