Role Responsibilities

The Marketing and Communications Specialist plays a vital role in achieving the strategic objectives of the Marketing and Communications Department. This position supports the team by streamlining processes and organizing initiatives within the broader Advancement Division. Responsibilities include:
  • Light administrative duties such as managing office operations and overseeing invoice and budget tracking.
  • Providing project management and marketing assistance by coordinating internal communications within the department and with division partners.
  • Updating web content and monitoring analytics to assess performance.
  • Tracking key performance indicators for the department.
  • Maintaining and organizing the photo library and other departmental databases.
  • Conducting basic writing tasks as needed.

Financial Administration

The Marketing and Communications Specialist is responsible for processing invoices for payment, monitoring expenses, assisting in budget oversight, preparing expense reports, and identifying cost-saving measures. Additional administrative tasks include:
  • Maintaining records and files.
  • Scheduling appointments and coordinating meetings.
  • Managing incoming and outgoing correspondence.
  • Overseeing departmental office supplies and equipment.

Project Coordination

This role involves assisting with project management and coordination, which includes:
  • Updating and maintaining project calendars.
  • Communicating with College partners.
  • Tracking department technology and equipment.
  • Engaging in basic copywriting and content creation as required.

Digital Asset Management

The Marketing and Communications Specialist will also:
  • Manage the digital asset management system and video library.
  • Support the use of project management tools.
  • Update website content and analyze key website metrics.

Email Campaigns

This position includes preparing and sending regular email campaigns, collaborating with the team in brainstorming sessions for various projects, and fostering professional relationships with faculty, staff, students, and the community.

Minimum Qualifications
  • Bachelor's degree required.
  • One to two years of experience in a marketing specialist or coordinator role.
  • Experience in a service-oriented position that requires strong interpersonal communication and problem-solving skills.
  • Exceptional organizational abilities.
  • A proven capacity to respond to requests and proactively support program and project needs in a fast-paced environment.
  • Detail-oriented with effective written and verbal communication skills.
  • Ability to project a positive and professional public image.
  • Proficiency in social media and web-based applications, including Google Analytics.
  • Willingness to learn new skills, including various software and cloud-based tools.
  • Working knowledge of Google, Microsoft Office, and Adobe Creative Suite.
  • Proficiency on both Macintosh and PC platforms.
