Overview
Under minimal supervision, this role entails significant responsibilities in managing and executing tasks related to inmate incarceration and release. The position requires independent decision-making, effective organization, and prioritization of workload while executing detailed legal procedures associated with the processing of court documents, criminal histories, intake assessments, and inmate behavior evaluations to ensure safe and secure housing assignments. Responsibilities include the acceptance and processing of bonds, fines, and cash releases, as well as managing jail records for retention and subpoenas. Daily coordination with all legal entities involved in inmate incarceration is essential. Incumbents are expected to perform complex decision-making autonomously regarding inmate release matters. This classification may necessitate work in secure facilities. A strong work ethic is crucial; the Specialist must adhere to instructions, meet deadlines, maintain good attendance, demonstrate reliability, and uphold honesty and integrity.

Key Responsibilities

  • Receive office visitors and manage telephone inquiries, screening calls as necessary.
  • Document messages and refer them to the appropriate Sheriff's Office personnel.
  • Organize and file forms, reports, correspondence, and related documents.
  • Coordinate appointments for the Sheriff's department.
  • Participate in meetings and provide reports to supervisory staff.
  • Conduct research pertinent to specific cases or situations.
  • Analyze complex data sets.
  • Prepare documents for official filing.
  • Maintain departmental records and files accurately.
  • Code, tabulate, and compile statistical data.
  • Gather, collate, classify, and input information into departmental records and computer systems.
  • Facilitate access within the facility, relaying information between buildings, supervisors, officers, and the public.
  • Collect fees and maintain accurate fee collection records.
  • Type standard forms, letters, and other materials from rough drafts and dictation.
  • Assist with data entry as required into the designated computer system.
  • Operate office equipment including photocopiers, fax machines, calculators, and computers.
  • Complete data entry for the booking process, ensuring accurate inventory of inmate property and funds.
  • Manage inmate mail and written materials, delivering them to various locations.
  • Order supplies and maintain inventory records.
  • Schedule appointments and manage calendars effectively.
  • Ensure services meet quality and timeliness standards.
  • Communicate changes and issues to supervisors promptly.
  • Render credible testimony in court proceedings as required.
  • Oversee the operation of the control room.
  • Perform additional duties as assigned.
Qualifications

Education and Experience

A High School diploma or G.E.D. is required, along with up to one (1) year of experience in corrections, security, or computer operations preferred; OR

Any combination of education and experience that is equivalent to the stated requirements and provides the necessary knowledge, skills, and abilities to successfully perform the duties of this position.

Additional Qualifications

  • Must obtain a Licensed TCOLE Basic Jailer certification within one year of hire.
  • Ability to fulfill continuing education requirements as mandated by TCOLE.
  • Possession of a Class C TX driver's license.
  • Bilingual proficiency (Spanish and English) is preferred.
  • Notary Public certification may be required.
  • TCIC/NCIC Certification must be obtained as soon as practicable.
