Position Summary:

The University of St. Thomas in Houston is seeking a highly skilled and experienced professional to serve as the Facilities Coordinator. The Facilities Coordinator will play a critical role in supporting the Facilities Operations Department by assisting with the day-to-day operations, overseeing strategic projects, and ensuring effective communication and collaboration across Facilities Team, including Engineering, Maintenance, Custodial Services, Events, General Office and Project Management. Reports To: Assistant Vice President of Facilities.

Responsibilities:

The Facilities Coordinator will oversee the efficient operation of Facilities processes and procedures, ensuring the smooth operation of all facilities systems. This role includes managing office and administrative areas, such as the mailroom, general office and Computerized Maintenance Management Software (CMMS). The Coordinator will act as a key resource facilitator, collaborating with Facilities Operations Leadership to maintain safe and functional facilities throughout the university. While this position does not have direct reports, the Facilities Coordinator will work closely with other staff members to support the university's daily operations effectively.

Mailroom Management:

  • Oversee the daily operations of the mailroom, ensuring timely and accurate sorting, delivery, and dispatch of mail and packages.
  • Maintain inventory of mailing supplies and equipment.
  • Coordinate with external postal and courier services as needed.

Office Coordination:

  • Ensure the general office area is well maintained, organized, and equipped with necessary supplies.
  • Manage office supplies inventory and place orders as needed.
  • Coordinate the use and maintenance of office equipment, including copiers, printers, and fax machines.

Facilities Support:

  • Assist with the scheduling and coordination of maintenance and repair activities.
  • Conduct regular inspections of office and administrative areas to identify maintenance needs.
  • Collaborate with the Facilities Managers to ensure compliance with safety regulations and protocols.
  • Assist in the creation of guidelines and quality assurance programs.

Event Support:

  • Assist in the preparation and execution of special projects and initiatives as directed by the Events Coordinator.

Vendor Coordination:

  • Liaise with external vendors and service providers to ensure timely and efficient delivery of services.
  • Monitor vendor performance and report any issues to the Facilities Management.

Administrative Duties:

  • Maintain accurate records and documentation related to facilities operations.
  • Assist with the preparation of reports, and other administrative tasks as required.
  • Serve as a point of contact for faculty, staff, and students regarding facilities-related inquiries and requests.

Qualifications:

  • Education: Associate's, Bachelor's degree or training in Facilities Management, Business Administration, or a related field preferred.
  • Experience: Minimum of 1 year of experience in facilities coordination, office management, or a related role.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
    • Ability to work independently and as part of a team.
    • Basic understanding of facilities management principles and practices.

Working Conditions:

  • This position primarily operates in an office environment but may require occasional physical activities, such as lifting and moving office supplies or equipment.
  • The Facilities Coordinator may need to be available outside regular working hours for emergencies or special events.
