Job title: Administrative Assistant Duration: 6+ Months Location: Onsite at Jurupa Valley, CA Shift Hours: 8:00 AM - 5:00 PM Job Summary: The Administrative Assistant for the Government Affairs group will support the Director of Government Affairs and other members of the Government Affairs and Public Affairs teams. This role includes performing a range of administrative duties such as managing calendars, handling correspondence, preparing reports and presentations, coordinating meetings, and arranging travel. Additional responsibilities include vendor management, procurement assistance, site documentation, and monthly cost tracking. This role requires a highly organized individual with strong communication skills, excellent client relationship abilities, and the capacity to manage multiple tasks effectively. Responsibilities and Accountabilities: Professionally represent the JVO organization to internal and external stakeholders Maintain positive working relationships with company employees, promoting a harmonious environment Proactively manage and prioritize meetings, conference calls, and interviews Support procurement needs, including water deliveries, janitorial services, tool orders, and utilities accounts Assist in setting up new vendors within company systems Oversee site documentation, support document conversion, and manage routing for approval Track monthly costs and prepare cost reports Independently initiate administrative improvements with limited guidance from supervisors Manage and prioritize multiple projects concurrently with well-honed organizational skills Complete word processing, presentations, spreadsheets, and process flows as requested Screen mail, e-mail, and phone calls, maintaining organized file systems Coordinate internal and external meetings, including travel, hotel, and catering arrangements Prepare reports, assist in detailed state and federal lobby reports, and process vendor payments Track project management benchmarks, updating project plans Maintain confidential data related to the budget and update the department SharePoint site Coordinate HR logistics for new hire recruitment and support multiple ongoing projects Qualifications: Education: High School Diploma required; Associate’s or Bachelor’s degree preferred Experience: 5-9 years of prior administrative experience, ideally in large organizations Critical Competencies and Skills: Drive for Results Strong organizational skills and ability to prioritize tasks Integrity, trust, and professionalism Strong work ethic and self-motivation Effective under pressure with attention to detail Exceptional problem-solving skills, including anticipating team needs and preventing potential issues Ability to create polished, high-quality presentations Note: This role description outlines essential job functions but is not an exhaustive list of all duties and responsibilities.
