Job Title:
Special Events Coordinator

Pay Details:
The starting hourly rate range for this position is $23.00 to $28.00 per hour. The actual hourly rate offered will take internal value, peer equity, job-related factors, and other organizational considerations into account.

ocVBE Special Events seeks a bold, innovative, and creative coordinator to help shape our division and share our message of creating first-class events with the world. Our success is built on the foundation of creating one-of-a-kind special events for our clients at our current Honda Center and ARTIC facilities and our future ocVBE properties. From weddings to festivals, corporate parties to graduations, film shoots, and private concerts, we provide our clients with elevated, turnkey spaces and planning that takes their events to the next level. As a vital part of this newly created division, our Coordinator will have the opportunity to spearhead marketing projects, develop insightful standards and protocols for department development, and get hands-on training in sales and logistical execution of events.

Responsibilities
  • Manage and develop improvements to the client database for ocVBE Special Events
  • Answer, screen, and route incoming event inquiries providing quality customer service
  • Network with the Southern California Tourism, Hospitality, Sports, and Entertainment professionals to help the department expand clientele
  • Research and analyze competitor pricing, industry offerings, and local vendors to make suggestions for improvements and shape a portfolio of event options for clients
  • Assist with the development and implementation of operating procedures that meet venue protocol and industry best practices
  • Attend meetings related to current Special Events and plans for ocVBE development, providing post-event recaps and analysis
  • Assist Special Events Sales and Event Managers with plans, documentation, equipment, and set-up before and at events as required
  • Work with Marketing, Creative Services, Social Media, and PR teams to shape and deliver new digital, print, and event-specific campaigns for Special Events
  • Manage department expense reports, budget logs, and inventory through diligent record keeping
  • Ensure timely and proper close out of event logistics, financial reporting, and vendor payments
Skills
  • Bachelor's Degree or equivalent education and relevant work experience, with an emphasis in Events, Hospitality, Entertainment, Marketing or Branding preferred
  • Arena, Convention Center, or other similar venue background is preferred
  • Previous experience handling multiple tasks effectively while meeting deadlines in a high-pressure environment
  • Experience with VenueOps or similar event management program and/or Caterease or other similar catering software preferred
  • CPR/AED certification is preferred and/or the ability to obtain certification upon hiring
  • Collaborator and an initiative-taker who is driven by delivering results
  • Excellent written and oral communication skills
  • Proficient in Microsoft Suite of programs (Word, Excel, Powerpoint, Outlook)
  • Possess a can-do attitude and work ethic
  • Resilient and highly adaptable to change
  • Able to lift 30 lbs
  • Able to work a flexible schedule including nights, weekends and holidays as necessary and required
