Role Overview:

We are looking for a dynamic Executive Sales Assistant to support our sales manager and sales team. The ideal candidate will be a detail-oriented, people-person who thrives in a fast-paced environment. This role requires impeccable organizational skills, a proactive attitude, and the ability to manage multiple tasks and schedules efficiently.

Key Responsibilities:

· Provide comprehensive administrative support to the sales team, ensuring seamless daily operations.

· Coordinate and schedule meetings, appointments, and travel arrangements for sales executives and the sales manager.

· Prepare and distribute detailed sales reports, compelling presentations, and professional correspondence.

· Efficiently handle incoming leads and direct them to the appropriate sales personnel.

· Collaborate with other departments to support and enhance sales initiatives.

· Attend sales meetings, take detailed minutes, and follow up on action items to ensure completion.

· Provide general administrative support to both the sales team and the sales manager as needed.

· Assist the sales manager with calls, including scheduling, preparation, and follow-up activities.

· Support field activities by accompanying the sales manager to client meetings and site visits.

· Assist in storm environments out in the field.

· Monitor and manage the sales manager’s calendar to optimize time management and productivity.

· Prepare and organize documents, files, and materials for meetings and presentations.

· Conduct research and gather information to support the sales manager’s strategic decisions.

· Assist with special projects and tasks as assigned by the sales manager to support overall business objectives.

Requirements:

· 2-3 years of customer service/customer satisfaction experience.

· 1-2 years of professional experience

· Demonstrated management experience or the ability to manage tasks and projects effectively.

· Strong organizational and time-management skills with the ability to prioritize tasks.

· Proficiency in MS Office (Word, Excel, Outlook) and CRM software (e.g., Acculynx).

· Ability to work collaboratively as part of a cohesive team, supporting colleagues and contributing to a positive work environment.

· Efficiently manage and coordinate complex calendars for sales executives, ensuring accurate scheduling of appointments, meetings, and travel arrangements.

· Proactively anticipate scheduling conflicts and resolve them in a timely manner to optimize executive productivity

· Run and generate detailed reports for sales representatives, organizing them for executive review and incorporating into weekly meetings to facilitate strategic decision-making.

· Willingness to adapt and thrive in a dynamic environment with frequent changes while keeping a positive attitude and proactive approach to challenges.
