The Senior Office Assistant provides administrative support services for the Executive Team.

Essential Duties and Responsibilities: (List in order of importance the essential functions of the job and the approximate percentage of time spent on each of the activities; describe what must be accomplished, not how it must be done; include supervision or management responsibilities, quality and quantity standards, physical, mental, and perceptual functions of the job)

Provide comprehensive administrative support to the Executive Team, ensuring efficient operations and timely completion of tasks. (Approx. 40%) Serve as a liaison between the Executive Team and various stakeholders, both internal and external, fostering effective communication and collaboration. (Approx. 20%) Coordinate and manage calendars, appointments, and meetings for the Executive Team, optimizing their schedules and ensuring smooth logistics. (Approx. 15%) Prepares and organize documentation, reports, and presentations as required by the Executive Team, maintaining high standards of quality and accuracy. (Approx. 15%) Assist in the planning and execution of special projects and events, contributing to the achievement of organizational goals and objectives. (Approx. 10%) Order office supplies and process expense requests, ensuring adequate inventory levels and timely reimbursement for expenses incurred by the Executive Team. (Approx. 15%)

Minimum Qualifications: (Education, Licensure, Experience, Knowledge, Skills, and Abilities)

Education:

High school diploma or equivalent required

Associate degree or higher in Business Administration or related field preferred

Experience:
  • Minimum of 3 years of administrative support experience, preferably in an executive or senior-level office environment
  • Experience with calendar management, meeting coordination, and document preparation required.
Knowledge, Skills, and Abilities:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Familiarity with office equipment and systems
  • Understanding of basic accounting principles for expense processing Excellent organizational and time management skills.
  • Strong attention to detail and accuracy
  • Effective communication skills, both verbal and written.
  • Ability to prioritize tasks and manage multiple deadlines.
  • Demonstrated problem-solving abilities and resourcefulness. Ability to maintain confidentiality and handle sensitive information with discretion.
  • Capacity to work independently with minimal supervision.
  • Adaptability to changing priorities and willingness to take on new challenges.
  • Strong interpersonal skills and ability to work effectively in a team environment.
