About La Salle Academy

Started in 2003, La Salle Academy (LSA) is a small, independent, Catholic grade school, educating children grades 3rd through 8th, that primarily serves children from low-income families from across Philadelphia. Run in the tradition of the Christian Brothers and the Sisters of St. Joseph, La Salle is a San Miguel model school dedicated to children achieving success academically and spiritually in a supportive, faith-based learning environment. The school is owned by a dedicated and committed Board of Trustees.

We are now seeking a full-time Administrative Coordinator to join our team and support our school’s mission of educating the whole child and acknowledging the potential in every individual. Responsibilities

  • Provide administrative support needed to accomplish objectives established by the School President and Principal.
  • Manage the day-to-day operations of the Main Office.
  • Properly handle confidential matters relating to students, student records, parents/guardians, staff and any other school related issues.
  • Work closely with President and Principal on special projects, including creating and maintaining data bases, updating and managing data critical to school functioning, assisting with reports and other projects as they develop.
  • Present a positive and professional image in contact with parents/guardians, students, faculty, staff, visitors and the LSA community.

General Duties:

  • Greet and direct guests, contractors, inspectors, parents and other visitors; maintaining a log book and connecting visitors to the appropriate staff person.
  • Maintain professional rapport with parents/guardians, staff, board members, vendors and visitors.
  • Prepare documents/reports including but not limited to school calendar, newsletters, handouts, notices, as assigned.
  • Organize and maintain a neat and efficient office space, including managing conference and meeting rooms.
  • Assist the Principal with document processing, including report cards, graduation certificates, and other documents as needed.
  • Assist the Principal with the enrollment process by providing families with enrollment information and other documents for the application process.
  • Support teachers and staff with office needs.
  • Work with the Principal and Business Manager to coordinate ordering supplies.
  • Work with Kitchen Coordinator and Nutritional Development Services to ensure ordering student meals and meal deliveries.
  • Prepare weekly family communication folders.
  • Manage and route phone calls appropriately.
  • Maintain records and file documents.
  • Other duties as assigned

Qualifications

  • Bachelor’s degree preferred
  • Three to five years’ office experience, preferably in a school setting preferred
  • Bilingual in Spanish/English preferred
  • Excellent verbal and written communication skills
  • Highly organized with strong attention to detail
  • Strong time-management abilities with the ability to prioritize tasks
  • Effective problem-solving skills; flexible, team player
  • Strong commitment to education and a passion for the school’s mission
  • Must maintain confidentiality on all school matters
  • Professionalism reflecting the values of a Catholic School
  • Proficient in MS Office and Google Applications; willing to learn other programs and databases, e.g. FACTS
  • Passing all required criminal background checks, including but not limited to Child Abuse Clearance and FBI Clearance
  • Three References
