General Definition of Work Performs intermediate skilled administrative support work opening court cases, preparing court orders, assisting judges with court proceedings, assisting the general public, and related work as apparent or assigned. Work is performed under the moderate supervision of the Clerk of the Circuit Court. Essential Functions Performs courtroom duties; verifies and records jury attendance for payment; prepares strike lists; administers oaths to juries and witnesses; takes notes for preparation of court orders; operates recording equipment; completes associated paperwork; manages exhibits. Prepares and processes court orders and a variety of applications and jury registrations; opens criminal and civil cases and appeals; prepares general correspondence in response to case inquiries. Figures taxes and fees for probating and recording. Certifies, reads and records chancery orders; makes notations, releases judgments, dockets judgments and indexes the orders. Types court orders and prepares various reports for submission to the State Supreme Court and other offices. Composes correspondence, often over own signature, to attorneys, fiduciaries and the general public to clarify requirements for certain legal transactions or to interpret points of law. Processes and records legal documents; records deeds, judgments, and finance statements; stamps and records judgments; copies deed books for scanning; computes taxes and Clerk’s fees; assigns instrument numbers. Prepares and maintains various court files, dockets, and related jury information. Greets visitors, citizens, and customers; answers the telephone; responds to general inquiries related to Circuit Court matters or forwards callers/visitors to the appropriate party for disposition; assists the public with the completion of forms, applications, etc. Receives monies; receipts and accounts for various revenues; prepares bank deposits. Assists proponents of wills and heirs with the probate of wills, qualifications, and recording of lists of heirs and other estate related documents. Enters a variety of information regarding court activities into the computer system; prepares and processes associated reports. Operates a variety of standard office equipment; receives and processes incoming and outgoing mail. Trains deputy clerks, general office clerks, and other personnel in office and courtroom procedures. May be required to supervise office staff. Attends docketing sessions with judges and attorneys, and draws court orders based upon information exchanged during such sessions. Any other work related as required. Knowledge, Skills and Abilities General knowledge of the office methods, procedures, and practices of the office of the Clerk of the Circuit Court; thorough knowledge of business English, spelling, and arithmetic; thorough knowledge of office programs and policies; skill in the use of personal computers, associated software packages, hardware, and peripheral equipment; ability to communicate effectively in oral and written form; ability to understand and follow oral and written instructions; ability to establish and maintain effective working relationships with court officials, attorneys, law enforcement personnel, other constitutional offices, associates, and the general public. Education and Experience High school diploma or GED and moderate experience in general office assistance preferably in a legal office, or equivalent combination of education and experience. Physical Requirements This work is sedentary and requires little to no exertion of force; work regularly requires sitting, speaking or hearing and using hands to finger, handle or feel, frequently requires standing, walking, reaching with hands and arms and repetitive motions and occasionally requires stooping, kneeling, crouching or crawling; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, operating machines and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).
