Description

We are seeking a highly organized and friendly Front Office Representative to be the first point of contact for our clients and visitors. This position plays a pivotal role in creating a welcoming environment and ensuring efficient operations at our front office. The ideal candidate will have excellent communication skills, a professional demeanor, and a strong ability to multitask in a busy setting. As the face of our organization, the Front Office Representative will manage a variety of administrative duties including answering phone calls, greeting visitors, and supporting day-to-day operations. You will be responsible for maintaining a clean and organized reception area while providing exceptional customer service.

Key Responsibilities
  • Greet and welcome visitors in a professional manner.
  • Answer and direct phone calls to the appropriate personnel.
  • Manage appointment scheduling and maintain calendars.
  • Perform data entry and maintain organized records and files.
  • Handle incoming and outgoing mail and packages.
  • Assist with administrative tasks and support other departments as needed.
  • Resolve visitor and client inquiries in a timely and effective manner.
Skills, Knowledge and Expertise
  • Proven experience in a front office or customer service role.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite and office management software.
  • Ability to remain calm and professional under pressure.
  • Attention to detail and strong problem-solving skills.
  • High school diploma; additional qualifications as an administrative assistant or customer service representative are a plus.
