Job Summary:

We are seeking a friendly, organized, and customer-oriented Front Desk Representative to join our team. The Front Desk Representative will be the first point of contact for visitors and customers, responsible for ensuring a positive experience from the moment they arrive. This role involves managing a variety of administrative and clerical tasks while maintaining a professional and welcoming environment.

Key Responsibilities:
  • Answer and Route Calls:

    • Handle incoming phone calls, answer inquiries, and direct calls to the appropriate departments or individuals.
    • Take accurate messages and ensure timely follow-up.
  • Manage Appointments and Scheduling:

    • Schedule appointments, meetings, and conference room bookings.
    • Keep records of visitors, vendors, and deliveries.
  • Assist with Administrative Tasks:

    • Handle clerical duties such as filing, data entry, and preparing documents.
    • Manage incoming and outgoing mail, couriers, and deliveries.
  • Maintain a Clean and Organized Reception Area:

    • Ensure the front desk and lobby area are clean, tidy, and equipped with necessary office supplies.
  • Customer Service:

    • Handle customer inquiries, complaints, and feedback professionally.
    • Provide high-quality customer service, ensuring guests have a pleasant experience.
Qualifications:
  • High School Diploma or equivalent; additional qualifications in Office Administration or Customer Service is a plus.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with office equipment (e.g., printers, copiers, phone systems).
