Job Description

As a Franchisee Logistics/Purchasing Coordinator, you will be responsible for providing support to our franchisees by managing the timeline of their store launch from inception to completion. You are working hand in hand with our franchisees to ensure the success of their launch into business.

Specific duties for this administrative, customer service role include:
  • Provides support to the franchisees by managing the timeline of their store launch from signing of the franchise agreement through set-up to start date.
  • The single point of contact between the franchisees and the corporate staff from signing of the franchise agreement through set-up to start date for new and resale locations for all brands.
  • Ensure all disciplines such as signage, real estate, financing status, logistics, purchasing, support set-ups, web site needs are defined, scheduled, held to the timeline, completed, and communicated to the franchisees and corporate staff.
  • Communicate via telephone and/or email with each franchisee for updates to the status of their store launch timeline. Daily internal and external communications may be required as needed as the project is coordinated and tracked to a timeline.
  • Define the project management tracking procedures to provide real time status updates and utilize the tracking procedure to effectively communicate to franchisees and corporate staff on the daily status.
  • Produce an individual file system to allow for all status, communications, forms, dates and updates to ensure the launch is on time and a plan if the plan slips to ensure on time completion and success.
  • Confers with vendors to obtain product or service information such as price, availability, and delivery schedule.
  • Selects products for purchase by testing, observing, or examining items.
  • Estimates values according to knowledge of market price.
  • Determines method of procurement such as direct purchase or bid.
  • Prepares purchase orders or bid requests.
  • Reviews bid proposals and negotiates contracts within budgetary limitations and scope of authority.
  • Maintains procurement records such as items or services purchased, costs, delivery, product quality or performance, and inventories.
  • Discusses defective or unacceptable goods or services with inspection or quality control personnel, users, vendors, and others to determine source of trouble and take corrective action.
  • Approves invoices for payment.
  • Expedites delivery of goods to users.
  • Composes and prepares correspondence, reports, and other documents.
  • Organizes and maintains file system and files correspondence and other records.
  • Orders and maintains supplies and arranges for equipment maintenance.
  • Research various buying opportunities to find best product and pricing.
  • Work with the brand operations representative to secure custom package details.
Qualifications

We are looking for a determined, strong-willed Logistics/Purchasing Coordinator who combines a resilient personality and excellent customer service skills, with an entrepreneurial spirit and strong time management abilities. In addition, you should be highly organized with the ability to manage multiple priorities and thrive under pressure within a fast-paced environment. It is also vital that you display excellent verbal and written communication and interpersonal skills, with the ability to quickly establish rapport and credibility to build solid business relationships.

  • Ability to respectfully hold the franchisees accountable to complete their required tasks to meet the expected and committed timelines for a successful launch.
  • Ability to interact and understand the component disciplines required that range from documents, real estate, financing status, logistics, purchasing, support set-ups, web site needs, communications and much more as you reach out to these internal groups to ensure the successful launch of a franchisee.
  • Must blend the ability to be focused and determined with internal staff to challenge them for completion as you coordinate the successful timelines on each discipline while maintaining a solid respect and working relationship.
  • Program or project management experience is a requirement.
  • Franchise experience in new store launches is a positive.
  • A never-ending positive attitude and commitment to customer service is required with 3 years of customer service experience or interaction.
  • Coordinator or manager experience is a positive.
Bachelor's degree (B.A., B.B.A., or B.S.) or equivalent from four-year college or university; or at least three years related industry experience and/or training; or equivalent combination of education and experience.

Strong working knowledge of the Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, and Internet Explorer. Types at least 40 words per minute.

Must be willing to travel on a case-by-case basis, as needed (up to but no more than 20%)
