GENERAL STATEMENT OF JOB

Under general supervision and reporting directly to the Deputy Chief Financial Officer, Junior Staff Accountant performs various duties related to Accounts Payable and in the Finance Department.

SPECIFIC DUTIES AND RESPONSIBILITIES

ESSENTIAL JOB FUNCTIONS
  • Provides customer service to both internal and external customers.
    • Receives phone calls - directs to proper personnel.
    • Acts as backup to cashier as necessary.
  • Process Accounts Payable for City Vendors.
    • Work with staff and vendors for billing matters.
    • Follow AP process from start to finish; corresponding with vendors, evaluating bills, reviewing statements, working with vendors and internal departments to get bills paid accurately and in a timely manner.
    • Assist in the reconciliation process of vendor statements.
  • Review all incoming invoices.
    • Review for billing accuracy.
    • Ensure Purchase orders used to pay bills are correct (proper vendor, proper account etc.)
    • Contact vendor or departments to ensure any necessary corrections are made and credits are issued by vendor.
  • Purchasing Card Processing.
    • Monitor p-card expenditures.
    • Ensure Transactions are coded to correct accounts.
    • Interact with cardholders as necessary.
    • Ensure all work is done prior to monthly reconciling entry.
  • A general knowledge of fund accounting is necessary in this position. The city has several departments that require forethought as to where bills are paid from.
  • Extensive knowledge of the Accounts Payable process, ability to navigate software programs to look up payment and account information. Ability to process and review accounts for accuracy.
  • Utilizes word processing, spreadsheet and/or file maintenance programs to enter, store and/or retrieve information as requested or otherwise necessary; maintains a variety of tangible files, filing and retrieving materials as requested or as otherwise necessary.
  • Researches, analyzes, and performs special projects for the City Manager and Senior Staff.
  • Screens and independently handles calls and visitors; provides information based on knowledge of Department programs and procedures, and/or refers callers to proper officials, as appropriate.


ADDITIONAL JOB FUNCTIONS

Performs other related work as required.

Qualifications

MINIMUM TRAINING AND EXPERIENCE

AA or AS degree, or 3 to 4 years of experience in bookkeeping or accounting work, preferably in a governmental setting; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities.
