Salary Range: This is a non-exempt position with a range of $21.63-$28.56 per hour.

Qualifications:

Education and Experience:
  • High School diploma or equivalent is required.
  • 1-3 years of experience office assistant or receptionist in a fast-paced environment with phone system experience.
  • Experience with general facilities management preferred.

  • Intermediate knowledge of the most recent version of Microsoft Office suite using Outlook, Word, Excel, PowerPoint, and Teams.
Essential Functions:
  • Assist team members, clients, and visitors in a friendly, proactive, and efficient manner with appropriate follow-up, as necessary. Manage DDCO's visitor log and the applicable distribution and retrieval of security access badges.
  • Answer and direct incoming calls to the appropriate team members, manage inquiries, and provide accurate information conveying a friendly, caring, kind and professional attitude.
  • Partner with building management and outside vendors for building access, repairs, and improvements for DDCO suite and Catalyst operations. Coordinate with building management to maintain team member parking and building access key cards.
  • Maintain relationships with repair and service vendors. Uphold maintenance logs and an annual assessment of vendor effectiveness and efficiency.Process vendor invoices in a timely manner.
  • Assist ESG Coordinator with committees, in-kind healthcare program, sustainability programming and ordering of sustainable office supplies.
  • Support the ESG Coordinator and Director of ESG as needed with administrative support, department initiatives, data entry and reporting including sponsorships, volunteerism, and sustainability. Support Delta Dental of Colorado volunteer committees with administrative and set up needs for events, holidays, and celebrations.
  • Partner with ESG Director to organize DDCO floor warden safety program including plan development, training, communications, building coordination, and equipment maintenance.
  • Coordinate department standard operating procedures in Policy Tech assuring accuracy, annual review, and collecting new SOPs for increased efficiency.
  • Assist with the effective training of other team members to provide backup coverage for the Front Desk. Maintain appropriate reference materials for use by those individuals who provide coverage during breaks, lunch, etc.
  • Maintain and track DDCO art collection, working with the accounting team to ensure all pieces are properly cataloged as company assets.
  • Maintain team member participation in the Amazon Business and RTD accounts at hire and termination. Completes quarterly reporting to ensure platform accuracy.
  • Assist in bookings and set up for external groups using the conference room spaces.
  • Maintain overall Delta Dental of Colorado suite appearances and functionality including kitchens, conferences rooms, wellness spaces, and copy rooms.
Other Responsibilities:
  • Maintain full knowledge of essential aspects of our business operations and anticipate and address needs before they arise.
  • Role model a positive work attitude and expect the same from others while holding self and others accountable to DDCO's Core Values.
  • Maintain and manage information in compliance with privacy and security regulations per HIPAA protocol.
  • Maintain a neat, clean and professional front lobby of the Peakview building.
  • Take the lead role in departmental quality improvement initiatives and ensuring timely project management and reporting.
  • Write and update policies, standard operating procedures and job aides in a timely manner.
  • Maintain competency through professional self-development by participating in professional group and network activities.
  • Act as a liaison with other departments and work in collaboration with other department leaders.
  • Become familiar with and follow DDCO-wide and department-specific policies, standard operating procedures and the DDCO Core Values; seek assistance from management when clarification or assistance is needed.
  • Assist others as requested.
Working Conditions:
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers.
  • Ability to perform the essential functions of the job with or without a reasonable accommodation.
  • No physical effort beyond that is typically required in a normal office environment.
  • Requires flexible time schedule. The potential for tight deadlines or time periods of high workload might require additional hours.
  • Regular exposure to a computer screen.
