Position Summary

As a Project Manager, this position will be responsible for coordinating and leading IT and corporate projects as assigned. Incumbent will partner with IT and business users to determine appropriate solutions, develop requirements, and project plans, coordinate and drive projects to completion, and provide routine status updates to stakeholders. As a Software Asset Manager, this position will plan, design, publish, and implement controls and monitoring to manage Software as a Service (SaaS) assets throughout the stages of the software lifecycle. Utilize Software Asset Management (SAM) functions to ensure efficient and compliant software usage across the company.
Position Duties/Responsibilities

PROJECT MANAGER
  • Develop and manage project specifications, technical designs, requirements, timelines, milestones, and deadlines.
  • Lead and execute multiple projects by completing and managing project scope, updating project documentation, delegating tasks to team members, determining daily priorities, ensuring efficient and on-time delivery of project tasks and milestones, following proper escalation paths, and managing customer relationships.
  • Identify appropriate metrics to measure project results, track and report metrics, and take corrective project action to improve on results.
  • Coordinate work with cross-functional team leaders and monitor and report on project status.
  • Assign tasks to staff, consultants and supervise work.
  • Superb communication and interpersonal skills are required to collaborate with the Operations team and make project presentations.
  • Communicate with stakeholders on project performance.
  • Demonstrate effectiveness in maintaining a well-organized operation to ensure the efficiency and accuracy of the work and tasks performed, and implement corrective actions as required.
  • Demonstrate strong organizational, analytical, and problem-solving skills to evaluate situations, make recommendations, and take prompt action.
  • Assist with training others on practices, procedures, and technical aspects of the job.
  • Coordinate efforts of consultants, maintenance contractors, and vendors; manage their involvement on projects and direct their efforts.
  • Maintain documentation concerning Operations projects.
  • Coach, mentor, motivate and supervise project and program team.
SOFTWARE ASSETS MANAGER
  • The SAM is responsible for daily and strategic management and control of the software portfolio to optimize the value, cost and risk of software. SAM will track, maintain, and coordinate SaaS licenses and maintenance agreements. SAM will develop reports covering license entitlements, installations, usage, renewal, procurement status, and data gaps and will research and develop standardized SAM processes (SOP).
  • Administer SaaS Platforms
    • Administer Microsoft and other SaaS or client software such as SmartSheets, Jira, Confluence, and Kanban Tool to ensure best usage of licenses and seats and to ensure the best choice is made in which products to use for which purposes.
    • Maintain software documentation reference library including SOP, EULA library and License terms.
  • Manage SaaS Licenses
    • Control costs and avoid legal pitfalls related to software licensing by leveraging industry best practices. Identify and track software costs and create the necessary processes (SOP and exceptions) to reduce those costs.
    • Create and document processes for evaluation of proposed applications, and integration and governance of adopted applications within IT best practices.
    • Use license tracking software or database to accurately track license aspects such as seat holders, expirations, renewals, agreements, updates, and installations. Collaborate with IT, vendors, and business stakeholders to identify and document all SaaS applications and subscriptions throughout the organization; create an ongoing inventory of SaaS instances accessible to department heads and cost center owners.
    • Manage the full SaaS life cycle. Create a SaaS renewal calendar and develop action plans for implementing new applications and service agreements, renewals, updates and retirements, configuration, license provisioning, user on- and off-boarding.
    • Optimize licensing agreements to reduce wasted license seats and long-term costs; utilize discovery tools to track worthwhile utilization of approved services, and use of cloud-based services not approved by IT.
    • Determine if applications are being used effectively and recommend, negotiate, or dictate our application mix and authorized users. Coach and counsel managers on costs and benefits of SaaS products already in use and those that are proposed.
  • Maintain Metrics and Cost Information
    • Provide KPI metrics for SaaS application adoption, usage and sentiment; deliver reporting to stakeholders across the organization.
    • Help departments and teams find the most appropriate tools for increasing business effectiveness, either already in use or when proposed by a stakeholder.
    • Determine where license ownership should reside for each SaaS investment, which cost centers own each license group and ensure proper accounting to each cost center for SaaS expenses and credits.
    • Respond to software audits. Provide software asset information sufficient to ease the audit process.
    • Prepare annual software and support cost projections for inclusion in budget requests.
  • Demonstrate strong organizational, analytical, and problem-solving skills to evaluate situations, make recommendations, and take prompt action.
  • Demonstrate good planning skills by ensuring the appropriate software and licensing lifecycle.
Supervisory Responsibilities:
  • No formal supervisory responsibilities, but regularly delegates tasks to others, sets timelines, and is responsible for the work of others.
Position Requirements

Required:
  • Bachelor's degree in business or IT related field (Project Management, Business, Computer Science, Application Development, Engineering or Operations Management) or equivalent years of experience
  • 5 years or more of experience in Information Technology field
  • 2 years or more of experience managing projects from inception to completion.
  • 2 years or more of experience related to software lifecycles or license management.
  • Project management skills, team leadership skills, and good communication skills.
  • Have a firm working knowledge of license models and usage rules for software publishers including, but not limited to, Microsoft.
  • Familiarity with various SaaS products, and ability to effectively recommend use cases.
  • Familiarity with Software Asset Management tools.
  • Valid driver's license
Preferred:
  • Bachelor's degree in business or IT related field (Project Management, Business, Computer Science, Application Development, Engineering or Operations Management) or equivalent years of experience
  • 8 years or more of experience in Information Technology field
  • 4 years or more of experience managing projects from inception to completion.
  • 4 years or more of experience related to software lifecycles or license management.
  • Certified Project Management Professional (PMP)
  • Certified Software Asset Manager (CSAM)
  • IT Information library (ITIL v3 or v4) certified
  • Experience with software audits
  • Demonstrated track record in optimizing License & Software Asset Management processes and driving optimizations in usage (cost-reductions)
