We are looking for a "Administrative Assistant" to join one of our Fortune 500 clients.

Job Summary
The Administrative Assistant will support the Registrar's Office by organizing and implementing administrative systems and procedures. This role serves as the principal source of information for the unit, project, or program and assists in maintaining a smooth flow of communication within the department. The position involves managing data, maintaining records, and supporting daily operational tasks. The candidate should demonstrate the ability to work independently, handle confidential information, and perform clerical duties in a fast-paced environment.

Responsibilities:
  • Organize and implement administrative systems and procedures for the Registrar's Office.
  • Serve as the main point of contact for unit information, gathering, and maintaining data for reports.
  • Prepare and maintain financial, personnel, administrative, and student records.
  • Facilitate smooth daily communication within the department, including managing correspondence and responding to standard questions.
  • Compose, proofread, edit, and prepare various documents such as reports, correspondence, and meeting materials.
  • Arrange for facilities use and assist in planning meetings, conferences, and seminars.
  • Review and approve General Petitions at the final Registrar's Office review stage and send approval emails.
  • Upload and categorize documents into the AppXtender archive system.
  • Triage and categorize incoming work requests (SNOW Tickets), responding to or assigning them to the appropriate staff.
  • Answer and triage questions from the main office telephone line.

Required Qualifications:
  • Prior office experience.
  • Proficiency with MS Office Suite (Word, Excel, Outlook, etc.).
  • Ability to handle complex and confidential information.
  • Experience working in a fast-paced environment.
  • Strong attention to detail and organizational skills.
  • Willingness to learn new software systems such as SNOW Ticket and AppXtender (training will be provided).

Preferred Skills:
  • Experience in a Registrar's Office or related educational environment.
  • Intermediate to advanced knowledge of email/calendar management, word processing, and spreadsheets.
