In partnership with the San Diego Rapid Response Network, JFS provides case management, travel assistance, nutrition services, medical screenings, and financial support for migrant families. The Site Coordinator – location plays an integral role on the team and supports the Migrant Shelter by ensuring all aspects of the shelter locations are operating as they should, and that the needs of the operation and shelter guests are met. The Site Coordinator maintains close communication with staff across all shelter sites while adapting to processes as the operation shifts. The SC problem solves and directs staff, taking care of the day-to-day operations of the Travel Center. They could also work at other shelter locations to be able to step in for coverage for other Site Coordinators at either shelter site. This position reports directly to the Travel Center Manager and works closely with the rest of the shelter leadership team. Responsibilities: Oversee the day-to-day operations of the Travel Center (TC) and/or non-congregate shelter site Coordinate between TC, non-congregate site, and other shelter operations Coordinate transfer of guests to between sites appropriately Coordinate welcome of guests to Travel Center and/or non-congregate site; provide orientation, offer meals/snacks, maintain communication about onward travel Serve as a first point of contact during emergencies at shelter sites and conduct applicable follow-up Maintain awareness of and responsibility within relevant emergency management procedures Monitor shared emails, phone lines, and voicemails and for critical operational communication Ensure that shelter services are provided with a trauma-informed perspective Utilize the client management software to reconcile, update, generate, and extract reports as necessary Advise on client database report format and content changes based on operational need Ensure reports and communication occur prior to new arrivals Coordinate with external JFS partners to include hotel management, medical providers, contracted staff, meal vendors, and state partners Actively participate in leadership meetings Collaborate with the Childrens’ Coordinator on materials and programming for children Report any emergencies or incidents to Shelter Manager(s), Director, and Assistant Director-Operations Communicate challenges and ideas for improvement to supervisor and Managers, collaborating on any changes needed Coordinate and communicate with shelter leadership to ensure that client needs are addressed in a timely and professional manner Assist in the development and revision of procedures, when operationally necessary Takes ownership for team cohesion Mentor and direct staff in professional development, their responsibilities, and their role as team members Provide operational supervision to staff, including any contracted staff and volunteers Provide direct supervision to staff including mentoring, coaching, and reviewing timecards Provide support to shelter guests by directing them to the appropriate staff Maintain careful records for any cash/card handling, and other relevant financial processes Ensure guests and staff follow all health and safety protocols Ensure a safe and clean space; indoors and outdoors Ensure that all program policies and rules are implemented fairly and consistently Ensure Public Health guidelines are upheld related to safe food handling and service Assume responsibility over safety, cleanliness, and good maintenance of materials on-site and ensure all parties on-site abide by these guidelines The Site Coordinator is required to pivot with adjusting operational procedures as needed by internal or external factors Monitor and support the quality-of-service delivery Monitor and support and the morale of the workforce The Responsibilities Below are Assigned Depending on Operational Need Receive and welcome guests to other shelter locations Communicate with federal agencies Support Managers in arranging medical care for guests, as needed Coordinate with shelter and hotel staff to assign rooms based on guest/operational need May involve supporting other shelter locations depending on operational need Other duties as assigned Skills/Experience/Abilities That Are a Must-Have: At least 1-2 years’ previous leadership experience required, including direct supervision of staff Proficiency in Microsoft Suite (Word, Excel, Outlook, etc.) Knowledge and experience in case management and job skills training Strong leadership skills Practiced in supervising and mentoring a team Exceptional organizational and analytical skills Experience with following and executing program protocols Ability to multitask efficiently and effectively Experience with advising upon, following, and executing program protocols Ability to innovate, solving challenges and developing functional solutions Experience in customer service and crisis intervention Understanding of foreign-born immigrant populations and the concept of trauma-informed care Sensitivity to cultural differences present in the service
