MD Anderson is seeking a Philanthropy Administrator to provide highly organized, collaborative programmatic support and project execution for the fundraising operations of the Principal Gifts and Strategic Initiatives team. The Philanthropy Administrator will utilize resourcefulness and relationship building with internal stakeholders throughout the division and greater institution for the execution of engagement with key principal gifts donors and Board of Visitors members with MD Anderson's President, Chief Philanthropy Officer and Associate Vice Presidents, Philanthropy. The Philanthropy Administrator will also partner closely with and report to the Program Director, Principal Gifts and Strategic Initiatives to provide a steady flow of information regarding strategy meetings, goal setting meetings and other reporting needs as a representative of the program's output. This role will ensure members have awareness of Principal Gifts operational procedures and that the program's operational needs are being met. Considerable responsiveness to project management, independent decision-making, business acumen, initiative, and ability to make decisions relative to the betterment of the division and the fundraising team is required. Strong interpersonal skills to communicate with a variety of institutional professionals including the president's office, senior leadership and volunteers is key to success. KEY FUNCTIONS Philanthropic Business Support - 50% This position supports donor relationship development activities, tracking and delivery of donor strategies. The successful candidate possesses knowledge of fundraising operations, donor stages and life cycle, moves management and engagement activities. This position requires the ability to anticipate next steps and prepare accordingly, ability to effectively communicate with internal and external stakeholders and proactively approach one's work. Organizational, time management and event coordination skills are critical to the role, as well as detailed focus with proficient writing and proofreading skills. The Philanthropy Administrator must have the ability to prioritize the care of donors and knowledge of when and how to request and coordinate services from internal partners for report generation, donor prospect research, donor prospect management and donor communications. Collaborate with the Program Director, Principal Gifts and Strategic Initiatives to manage principal gift prospect engagement activities on behalf of the Principal Gifts and Strategic Initiatives program. This would include special projects, agenda development, data maintenance in CRM (Customer Relationship Management) and collaboration in strategic sessions and gift officer portfolio reviews. Manage the presidential engagement process, encompassing requests for presidential time, confirmed meetings, trip planning in coordination with OCPO (Office of the Chief Philanthropy Officer) and gift officers and associated briefings. Ensures the quality of the program's data utilized for tracking, reporting and analyzing the program's activity. Maintains CRM and dashboard updates for the PGT (Principal Gifts Team) portfolio, including tracking of Top Prospects, Identified and Active prospects, Signature Priority Alignment. In collaboration with Business analytics, develops reports for PGT and optimizes utilization of dashboard to assess progress toward PGT goals. Team Operations - 30% Oversee team-level administrative processes and operation workflows (including system process design, implementation and evaluation), tracking of metrics and output reporting (including fundraising activity data input and integrity validation), budget compliance and training/continuing education of operations applications. Maintains associated PGT business processes and helps to implement communication cascade across teams. Develops optimal agendas for service line PGT meetings with prioritized timely items for discussions (donor communications, prospect development, philanthropic engagement, etc.). Support project administration for the development of emerging signature priorities, supporting PGT team lead and Individual Giving Team (IGT) liaison for execution of service line support and communication cascade to Philanthropy. Supports the Sr. Director, Institutional Fundraising Review Process in supporting its process, program and establishment of approved fundraising priorities in collaboration with required divisional teams. Manage coordination of PGT trips - prospect prioritization with research, IGT lead discussion of meeting offerings, coordinate donor meeting schedule with IGT regional lead. Planning, coordination and execution of respective donor cultivation, solicitation and stewardship meetings, events and tours. Works closely with other teams and stakeholders to ensure a coordinated and effective approach to fundraising operations and donor engagement. Project Coordination - 20% Successfully execute and complete project requirements for various team-level initiatives, keeping all stakeholders apprised of progress with satisfactory deliverables. Partners with the Office of the Chief Philanthropy Officer, divisional fundraiser leaders, administrative support and prospect development (research) to ensure success of the program's performance, inclusive of special projects required for engagement of MD Anderson's Board of Visitors. EDUCATION Required: Bachelor's degree in Business, Communications, Marketing, English, Journalism or related field. EXPERIENCE Required: Three years of direct experience in development operations. May substitute required education degree with additional years of equivalent experience on a one to one basis. Preferred: Experience with principal gifts program management. Knowledge of portfolio-based fundraising.
