Job Description:

This position supports the planning, development, management and execution of events that support the firm's strategic goals. The person must have knowledge for corporate event planning, contracting, project management and coordination of events in auditoriums, boardrooms and conference rooms.

Responsibilities:
  • Assist in the contract, plan, and execution phases of both small and large scale events and meetings.
  • Coordinate logistics for onsite, offsite, in person and virtual sessions and multi-regional events. Including audio/visual services, food and beverage, dcor, and vendor management.
  • Coordinate, manage and execute logistical components related to virtual event broadcasts facilitated through GlobalMeet and Zoom.
  • Hands-on involvement and service-minded attitude from pre-event management to post-event follow through.
  • Manage and adhere to master event calendar and timelines.
  • Track event budgets and process expenses through expense reporting tool.
  • Maintain master speaker calendar for all US events and coordinate cross-department resources.
  • Manage, document and update event planning processes and lifecyle of event through various platforms.
  • Coordinate data collection and archiving.
  • Willingness to roll up sleeves with logistics and details.
  • Ensure quality control for all event deliverables, including proofreading and design approval.
  • Coordinate across team and departments on special projects as needed.
Qualifications:
  • Bachelor's degree in hospitality, communications, or a related field.
  • Minimum three years of experience in corporate event planning required.
  • Exceptional customer service skills, interpersonal skills and a positive "can do" attitude.
  • Ability to work with C-level executives.
  • Team player who enjoys a collaborative environment but is also an independent thinker capable of managing multiple projects and meeting deadlines.
  • Demonstrated problem solver who thrives on helping others.
  • Ability to think strategically.
  • Flexibility to adapt quickly to changing needs and priorities, handle multiple tasks simultaneously, and effectively prioritize workload.
  • Strong communication and interpersonal skills - both verbal and written.
  • Detail oriented with the ability to multi-task across several different projects and events in parallel.
  • Exceptional organizational and follow-through skills.
  • Project coordination.
  • Strong computer skills (MS Office, MS Power BI, MS Dynamics, Cvent, GlobalMeet, Zoom, Artifax) with the ability to learn programs as needed.
  • Knowledge of facilities coordination, broadcast services and the financial industry a plus.
