SummaryThe primary job of a Purchasing Coordinator is to create and maintain meaningful liaison with vendors, and manufacturers, to assure constant procurement of supplies. He or she will confer with Project Managers and Warehouse Personnel to determine the amount and type of materials needed for a project, or inventory, and ensure that they are delivered in a timely fashion.

It is the job of the Purchasing Coordinator to contact vendors, and manufacturers, to decide which vendor/manufacturer serves to be the best. Since all projects run on budgets, it is essential to ensure that the quotations that purchasing coordinators get from vendors/manufacturers, suit the budget.

To purchase a range of materials, purchasing coordinators must handle a lot of paperwork which they have to be well versed in. They must perform research activities to determine a list of possible vendors. Create purchase orders, ensuring that the order is sent out to the right vendor/manufacturer and assuring the correct amounts and pricing is confirmed.

Purchasing Coordinators works closely with the Direct of Purchasing, Department Heads, Department Support Staff, Project Managers, Project Engineers, Accounting/AP Department Staff and Warehouse Personnel.

  • Education - Bachelor's degree and/or sufficient related work experience
  • 3 Years of Experience in an office administrative/purchasing role

Essential Functions
  • Review documents submitted by Operation staff for job purchasing and enter into accounting system.
  • Organize documents submitted by vendors/manufacturers and match the purchase order.
  • Research and correct invoices that do not reference a purchase order.
  • Assist Director of Purchasing with day-to-day purchasing functions.
Physical Demands
  • Stand, walk, bend, sit at a desk
  • Lift up to 40 lbs.
  • Ability to type and operate standard office equipment on a daily basis.
