Position Summary

The Specialist of Hybrid Events is a member of the Technology Department. The Specialist is responsible for assisting with the overseeing, planning, coordinating and executing high-profile events for our lawyers, their clients, and Business Services Professional Teams. The role is client-service focused, interacting and ensuring the delivery of best technology experience with presenters, guests, and participants in live and virtual settings, in offices and offsite locations.

Duties and Responsibilities 1

The Specialist of Hybrid Events is responsible for these key areas to support the Firm's and Technology strategies:
  • Support and build strong partnerships with the Regional Section Head and Director of Business Operations for the section to translate business objectives into HR strategies
  • Serve as one of the primary AV/Hybrid Events contacts to coordinate and support technical requirements for onsite/offsite high-profile event(s) that are assigned to the Senior Specialist.
  • Schedule, attend and/or manage technical project meetings with Events, stakeholders, and organizers of upcoming Firm and high-profile events
  • Help identify resources and risks, and communicate to stakeholders the technical expectations and goals for the event
  • Research availability (and pricing) of special technology or external technical services that may need to be purchased or contracted for a high-profile event
  • Coordinate and collaborate with all teams involved in a Firm or high-profile event and ensure the technical requirements of the project meets the schedule, budget, and timeline
  • Schedule, conduct, and oversee technical meetings and rehearsals with contractors to ensure they meet expected quality, pricing, budget, and execution
  • Work with hotel teams, site managers, vendors, and logistics teams to specify and deliver the aspects of each event site
  • Consistently provide updates to the organizers, Technology leaders, and stakeholders on the status of technical deliverables, changes to orders or contracts, as well as pricing schedules and deliverables
  • Escalate, troubleshoot, communicate, and seek resolution to technical challenges or issues before and during events
  • Regularly inspect the design and work performed by vendors and contractors before and after event deployments
  • Timely engage and coordinate with other teams the needed support from Firm technology specialists, Production Specialists, network experts, and/or engineers to scheduled events
  • Test, pilot and provide feedback on tech tools the Firm is deploying, which impact the work of the Hybrid, AV Meeting, AV Production, Network or Tech Support teams
  • Plan and provide walk-throughs, training, and handover to Events Teams, presenters, and stakeholders, the internal/external site(s) setup for the scheduled high-profile event. Recruiting: Partner with the recruitment team to ensure consistent recruiting efforts are aligned with business need and succession planning
Additional responsibilities include:
  • Attend professional development courses and continue enhancing technical knowledge and industry trends to support Firm events
  • Collaborate with manager to identify and go to internal courses on communication, leadership, etc. offered by the Firm's Learning and Development Team, Technology, and other internal groups
  • Able to lead project team members to ensure deliverables are on time, functional, and of the best quality, while meeting project's goals
Qualifications
  • 5+ years hands-on experience in AV event production, broadcast, post production and communications
  • Expert level on web conferencing, webcasting and meeting apps on a live production setting
  • Strong knowledge of photography, video editing tools, video recording, audio routing and lighting
  • Experience with AV switching, touch panels, advanced AV Troubleshooting & maintenance
  • Strong problem-solving skills, analytical, creative, be able to agile under pressure, strong communicator, and impeccable organizational abilities
  • Strong understanding of audio/video protocols and Crestron and DSP files
  • Self-motivated and able to work in different settings, in a fast-paced environment
  • Excellent communications skills and client service skills. Able to speak and interact with partners, stakeholders, clients, technical teams, and internal BSS professionals
  • Flexible to support events during off-hours and/or weekends
  • Available to travel

  • This role is based in our Washington, D.C. office.
  • This role reports to the Supervisor, Hybrid Events.
