Hill Country Community Action Association, Inc.Job DescriptionJOB TITLE: Community Outreach Coordinator FLSA STATUS: Non- ExemptREPORTS TO: Chief Executive Officer EFFECTIVE DATE: HEADQUARTERS: Central OfficePOSITION SUMMARY:Under the direction of the Chief Executive Officer, the Community Outreach Coordinator will perform a variety of duties related to partnerships, outreach events, employee relations, & staff/volunteer retention. The Community Outreach Coordinator will work closely with Program Managers regarding advertising and hiring employees for HCCAA. ESSENTIAL JOB FUNCTIONS:Organize & participate in the recruitment of staff and volunteers for all programsEstablish and maintain partnerships and relationships with available resources Attend health fairs, workshops, conferences, and other coordinated outreach opportunitiesDevelop, implement, and manage social media accounts on a daily basisPlan, manage, and upgrade the organizations website regularlyMaintain a calendar of outreach activities, workshops, trainings, and other communication opportunities Organize special events (fundraising, staff appreciation, and other initiatives)Maintain accurate and timely documentation of activities and community outreach data for reporting/auditing purposes Create a quarterly newsletter for HCCAAServes as a liaison between community programs and staff development/retention Assist Program Directors with review and updates of annual handouts/manuals including recruitment materials, brochures, website, interview stationary, and orientation materialsAbility to travel to all 17 counties that HCCAA serves Provide list of staff changes to Policy Council and Program Managers as neededAssist PIR for Head StartAssist with annual Head Start BudgetCreate flyers for events going on throughout all 17 countiesCreate and update agency flyers and bookletsOrder agency promotional itemsCode billsAssists Admin with reports, studies, and auditsCoordinate and recognize Employee/Volunteer of the Month Attend Board Meetings and create report for each meetingBox files for storage according to Agency policyPrepare special reports as requestedAnswer staff inquiries, or route questions to the appropriate team member for responseEnter personal time worked in the Automated Time Keeping system (Employee Web Services)Attend workshops and trainings as requiredPerform other tasks as requiredJOB REQUIREMENTS:EDUCATION/EXPERIENCE: Minimum: High School diploma or GED. A minimum of one year's experience in general office duties or experience in HCCAA Programs preferred but not required. SKILLS AND ABILITIES: Ability to work as a team member. Ability to communicate effectively, maintaining courtesy at all times. Ability to be respectful of and work effectively with individuals from various ethnic, socioeconomic, educational, and cultural backgrounds. Be flexible and have well-developed interpersonal skills. Be able to maintain records and clearly understand written or verbal instruction. Ability to learn computer software as needed.OTHER: Professional in manner and attire. No record of a conviction which would contraindicate employment. Must have a valid Texas driver's license and a reliable vehicle with current vehicle liability insurance. Be non-judgmental. Must comply with all HCCAA Policies and maintain confidentiality in all phases of agency operationsSUPERVISORY RESPONSIBILITIES: NoneEQUIPMENT TO BE USED: Computer, fax machine, 10-key calculator, copier, and telephone. TYPICAL PHYSICAL DEMANDS:Requires prolonged sitting at the computer workstation, standing, bending, reaching, and lifting up to 40 pounds and some driving. Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, telephones, and other office equipment. Requires normal range of hearing and vision.TYPICAL MENTAL DEMANDS:Must be able to handle new and diverse work problems on a daily basis. Personal maturity is an important attribute. Must be able to resolve problems, handle conflict, and make effective decisions under pressure. Must have the ability to listen objectively to people, perceive the real problem and assist in bringing issues to a successful conclusion. Must relate and interact with employees at all levels within the Agency. Bilingual skills are encouraged.WORKING CONDITIONS:Rarely called upon to work outside of the normal 8-5 work day or work odd schedules. Out of town and overnight travel as required.
