Title: Event and Team Coordinator
Location: Burbank, CA
Duration: 24 M Contract
Compensation: 30-36/hr WE
Work Requirements: US Citizen, GC Holders or Authorized to Work in the U.S.
This position serves as the primary contact for delivering annual innovation partner events, including bi-annual Partner Day and events at key industry touchpoints throughout the year. You will plan, organize, and manage these events with internal and external partners.

Responsibilities:
  • Event Planning and Management:
    • Secure event spaces and vendors.
    • Send executive-level invitations and monitor RSVPs.
    • Communicate with event guests.
    • Conduct research and update distribution lists.
    • Collect and oversee approvals for event graphics and other materials.
  • Collaboration:
    • Work with peer teams to ensure seamless event execution, including logistics, speaker coordination, content development, and attendee experience.
    • Act as the first point of contact for all event productions.
  • Administrative Support:
    • Provide comprehensive coordination and administrative services for the innovation team.
    • Manage and coordinate internal and external meetings with key stakeholders.
    • Create agendas and take notes for weekly team meetings, capturing feedback and monitoring action items.
    • Organize and execute purchasing for the lab, including new hardware, supplies, and craft services.
    • Ensure timely and efficient ordering of equipment and software.
    • Manage the team's email account, ensuring a prompt response time and escalating issues as necessary.
    • Handle calendaring, including interfacing with high-level executives and managing competing priorities.
    • Oversee team travel arrangements and related documentation.
Basic Qualifications:
  • Bachelor's degree or equivalent work experience.
  • At least 5 years of administrative experience.
  • Proficiency in Keynote, Airtable, Excel, Google Workspace, MS Office, Adobe, or Photoshop.
  • Experience in managing email accounts, calendaring, team travel, and purchasing.
  • Ability to create agendas and take detailed notes.
Preferred Qualifications:
  • Previous experience in the entertainment or events industry.
  • Understanding of corporate culture and professionalism in managing meetings and schedules.
  • Familiarity with large organizational processes.
