Job Description

As a Philanthropic Services Specialist, you will be responsible for delivering high quality and efficient service to both existing donors and prospects through telephone and written communication. This role involves responding promptly to incoming calls and correspondence, providing accurate information, and engaging actively with donors to resolve their issues. You will also enter information accurately into our internal recordkeeping system, research and resolve donor issues, and maintain a good level of knowledge in donor-advised funds, tax, and charitable giving. Additionally, you will manage follow-up activities, support extended phone coverage, participate in business planning, and contribute to special projects.

Responsibilities

+ Ensures phone and email responsiveness by responding in a timely manner to incoming calls and correspondence from donors and prospects.

+ Provides high quality and efficient service to donors and prospects by providing accurate information, engaging in active listening and presenting oneself in a non-judgmental and professional manner.

+ Ensures all information gathered on account advisors and prospects is accurately entered in to our internal recordkeeping system (Gemini).

+ Researches and resolves donor issues within the identified timeframes; interacts with internal and external resources; continually monitors account activity, and communicates status to donors, in accordance with established guidelines. Understands the appropriate levels of approvals that are needed by staff for certain transactions and communications (e.g. IMH, written correspondence).

+ Maintains and communicates a good level of donor-advised fund, tax and charitable giving knowledge.

+ Fields questions from prospective donors to determine individual needs, position VC benefits to appropriately match the identified needs, and handles objections and questions. Uses good decision making on when to involve staff in elevated situations.

+ Recommends improvements to enhance workflow procedures and to create greater efficiencies.

+ Manages follow-up activities with donors and prospects consistent with stated criteria.

+ Supports the extended phone coverage hours as needed.

+ Supports the business-planning initiatives.

+ Attends and participates in all relevant meetings and training sessions.

+ Participates in special projects and performs other duties as assigned.

Work Site

This is a hybrid position requiring some days on-site in Malvern, Pennsylvania and some days remote.

Work Environment

The team consists of 15 members and reports directly to the supervisor. The role operates onsite three days per week (Tuesday, Wednesday, Thursday) with a 37.5-hour work week. During November and December, increased business hours and overtime are required. The worksite is located at 45 Liberty Boulevard, Malvern, PA.
