Primary Purpose Organize and manage the routine work activities of an administrative department office and provide clerical services to the department head and other staff members. Qualifications Education/Certification: High School diploma or GED Special Knowledge/Skills Proficient skills in typing, word processing, and file maintenance. Effective communication and interpersonal skills. Basic math skills. Ability to use personal computer and software to develop spreadsheets and database and do word processing. Ability to interpret and disseminate information to individuals and groups. Experience Three years of secretarial experience, preferably in a public education environment. Major Responsibilities And Duties File Management Process requests for official district records, including maintaining log of requests for records, retrieving documents, copying, and mailing records. Prepare and maintain employee service records. Request service records for new employees as applicable. Compile pertinent data as needed when preparing various state and local reports. Maintain physical and computerized departmental files. Retrieve student records as needed. Records, Reports, and Correspondence Compile new hire packets and assist new employees in filling out all necessary documents. Complete unemployment forms for Director's signature. Complete teacher loan forgiveness and educational aide exemption forms for Director's signature. Verify employment as necessary. Prepare list of personnel action (recommendations, resignations, reassignments, etc.) for Board approval and maintain database on all approved action. Conduct criminal background check on all applicants recommended for employment. Prepare letters to those employees/applicants for which the Board took action after a Board meeting. Prepare and distribute employment contracts. Compile pertinent data as needed when preparing various federal, state, and local reports, including EEOC and Texas Employer New Hire Report. Accounting Perform routine bookkeeping tasks, including simple arithmetic operations, for the department. Assist with the preparation of the HR department budget. Monitor and process department employee time records, including leave requests and reports. Process all purchase order requests. Leave Administration Process all long-term absences, determine eligibility for various leave programs including Family and Medical Leave (FMLA) and temporary disability leave according to established guidelines, and provide employees with required timely notice. Post leave information for new hires in Skyward. Complete disability forms for eligible employees. Other Answer and respond to incoming calls, take reliable messages and route to appropriate staff. Greet visitors and assist employees and applicants with completing applications and required paperwork. Maintain a schedule of appointments, assist with scheduling and set up of interviews and meetings. Make travel arrangements for department. Receive, sort, and distribute mail and other documents to department staff. Maintain confidentiality of information. Perform any other duties as may be assigned by the Administrator designated. Perform all duties in a safe manner to avoid injury to oneself and/or others. Supervisory Responsibilities None. Working Conditions Mental Demands: Work with frequent interruptions; maintain emotional control under stressful conditions. Physical Demands/Environmental Factors Frequent walking, standing, stooping, bending, and reaching. Occasional lifting and moving of moderate to heavy objects. Repetitive hand motions; prolonged use of computer; irregular and/or extended hours possible.
