The Texas Health Enrollment Broker Project, located in Austin, TX, is actively seeking candidates for the position of Administrative Assistant. This role presents an excellent opportunity to collaborate with multiple departments within the Texas Health EB project. The successful candidate will participate in a variety of administrative tasks across different departments, supporting our call center's efforts to connect with communities throughout Texas.

Essential Duties and Responsibilities:
- Run daily inventory and task management reports in Discoverer.
- Track and report daily/weekly/monthly production, attendance, attrition rates for management.
- Coordinate meetings, create agendas, and writing meeting minutes.
- Assist with filing, copying, and data entry as needed.
- Coordinates new hire needs, including system access permissions; coordinates with third party system contacts, including HHSC, as required.
- Assist Executive Management as needed with administrative needs.
- Runs errands, when required.
- Coordinate building maintenance issues with Facilities.
- Assist in department training and team building activities.
- Perform other duties as may be assigned by management.

Essential Duties and Responsibilities:

- Track and report daily/weekly/monthly production, quality, attendance, incentives, and attrition rates for supervisors/management.

- Coordinate meetings, create agendas, and take meeting minutes.

- Assist with scanning, copying, and data entry as needed.

- Coordinate new hire needs, including system access permissions; coordinate with third-party system contacts, including HHS, as required.

- Assist Executive Management as needed with administrative needs.

- Perform various office-related tasks which include but are not limited to shopping, onsite setup, and preparation.

- Assist in planning recognition awards and team-building activities.

- Perform other duties as may be assigned by management.

Additional Duties / Responsibilities:

- Prepares and analyzes weekly, monthly, and quarterly statistical reports.

- Establishes and maintains SharePoint files and inventory.

- Orders office supplies and Outreach materials including sorting, packaging, and shipping items.

- Collects and processes employee reports and supporting documentation as required.

- Assists Managers in complying with Maximus standards, policies, and procedures.

- Assists Outreach staff as needed.

- Coordinates Employee Recognition events, contests, and awards and produces announcements for employee recognition winners to be sent via email blast or published in the newsletter.

- Assists with keeping a weekly staffing record for all Special Services agents.

- Performs MAXeb account activation/deactivation of Outreach and Special Services staff.

- Provisions new and existing agents' roles in MAXeb.

- Assists PPM coordinator as needed with updates.

- Assists in tracking and retaining new and old articles that are up for review or are under revision.

- Complete/submits Move Request for all Outreach and Special Services staff and other areas as needed.

- Maintains confidentiality at all times.

- Performs other duties as may be assigned by management.

- Demonstrate sound judgment due to the high level of confidentiality required by the position.

- Determine proper office procedures or formats to comply with management requests.

- Plan and coordinate staff events/projects with minimal guidance.

- Determine necessary office supplies for department staff.

- Determine accuracy level performed by business functions; identify opportunities for improvement.

Physical Effort:

- This position requires bending, stooping, pushing, pulling, lifting, and carrying, up to and including 25 pounds. Use of personal vehicle for special events and employee recognition is required; mileage is reimbursable.

Minimum Requirements

- High school diploma or equivalent with 2 - 4 years of experience.

Program Specific Requirements:

- High school diploma or equivalent

- Minimum of 1 to 3 years' experience in the relevant field is preferred.

- Must be proficient in MS Office applications, specifically Excel

- Must possess reliable transportation for daily use, with a valid Driver's License and Insurance, to commute to the office as needed.

- Must reside in the Austin region (within 70 miles of our office location) to be able to report onsite as needed.

Internal program candidate requirements:

- Should not exceed Attendance 24 points in the last 3 months.

- Should not have any disciplinary action higher than a verbal warning in the last 30 days.

- Must maintain an average of 97% for Quality Control (QC) for last three months.

- Must maintain an average of 97% for Customer Service (CS) for last three months

- Must meet adherence with a minimum of 93%, where applicable.

- Prefer 6 months of Texas Health Enrollment Broker experience (temporary positions included).

- Position available for Full-Time Employees only; Part-Time not available.

- Must possess reliable transportation for daily use, with a valid Driver's License and Insurance, to commute to the office as needed.

- Must reside in the Austin region (within 70 miles of our office location) to be able to report onsite as needed.

Pay Transparency

Maximus compensation is based on various factors including but not limited to job location, a candidate's education, training, experience, expected quality and quantity of work, required travel (if any), external market and internal value analysis including seniority and merit systems, as well as internal pay alignment. Annual salary is just one component of Maximus's total compensation package. Other rewards may include short- and long-term incentives as well as program-specific awards. Additionally, Maximus provides a variety of benefits to employees, including health insurance coverage, life and disability insurance, a retirement savings plan, paid holidays and paid time off. Compensation ranges may differ based on contract value but will be commensurate with job duties and relevant work experience. An applicant's salary history will not be used in determining compensation. Maximus will comply with regulatory minimum wage rates and exempt salary thresholds in all instances.
