About You

As an administrative assistant, you will provide professional support and customer service to Legal Services and Community College Services staff and excellent customer service to TASB members. You will answer multi-line phones and be able to answer questions, direct callers to the appropriate area, or assign legal questions to attorneys. You will work with team members on projects such as planning and providing support for training events, membership and subscription management, web publishing, and preparing/editing handouts, and preparing PowerPoints. You work with and coordinate projects with internal departments on issues related to billing, print jobs, data base management, and more. You will manage your projects independently and meet or beat deadlines. You will also work as part of a team on major projects to achieve TASB and service area goals. This is an onsite position with successful candidate working in our TASB headquarters located in Austin, TX.

A Typical Day

  • Answer busy multi-line phone, obtaining pertinent information from caller to assign calls to attorneys.
  • Provides support for managing membership and subscriptions for statewide school attorney members.
  • Works with team members to plan and provide support for major training events held across the state.

How You’ll Make an Impact

  • Answer phone lines for multiple divisions. Provide professional, friendly, customer service when answering and processing incoming requests for legal assistance on multi-line telephone system, call processing voice mailbox, and division email boxes. Accurately log and process calls in AMS phone log database following established protocols. Enter and monitor call assignments in Teams chat.
  • Coordinate and assist in Legal Services training-related projects, including: distribution of marketing brochures and flyers; handout design, preparation and distribution; and travel planning.
  • Assist with drafting, designing and/or processing correspondence, handouts, visual aids, and PowerPoint presentations that enhance learning of attendees during training events. Coordinate the duplication and distribution with the appropriate staff or department(s).
  • Review and edit handouts, marketing materials, correspondence, and training materials to ensure accuracy, consistency, and conformity with TASB, Legal Services, and generally accepted legal rules of style.
  • Assist with updating/maintaining web content for assigned areas.
  • Transcribe and format handouts, minutes, and publications.
  • Assist in managing membership and subscriptions, including database maintenance.
  • Prepare reports which may require research, data collection, and routine or financial analysis.
  • Review and reconcile data and financial spreadsheets related to memberships, subscriptions, and seminar registration.
  • Prepare sales orders for membership and subscription billings.
  • Provide assistance and information for requests related to memberships, subscriptions, scheduling appointments, department policies, and/or general information about Legal Services, Community College Services, or TASB.
  • Monitor, maintain and organize word processing files and subdirectories within Word.
  • Coordinate staff professional development travel. Coordinate staff seminar, convention, and workshop travel with TASB’s Meetings and Travel Department. Reserve rent cars for staff travel.
  • Attend and assist at the annual TASB Convention, Council of School Attorneys meetings, and other seminars and meetings as requested.
  • Coordinate meeting details and provide on-site assistance when representatives of outside groups are hosted at TASB facilities.
  • Ensure procedures are documented and kept up-to-date.
  • Perform miscellaneous duties as necessary such as troubleshooting or providing minor maintenance of department equipment; order supplies; schedule meetings; design and modify templates.
  • Cross-train with Program Coordinator and Legal Services Assistant and perform backup support, as needed.
  • Assist in other projects as requested by the Assistant Director, Legal Operations.

Education and Experience:

  • Associate's degree from an accredited college or university.
  • Experience in office administration, administrative support, legal support (or closely related) fields may be substituted for the required education on a year-for-year basis.

Knowledge, Skills and Abilities:

  • Ability to answer multi-line phones.
  • Ability to exercise diplomacy, discretion, and confidentiality.
  • Knowledge of office practices, administrative, and technical procedures.
  • Ability to communicate effectively and professionally in both written and oral formats, with internal and external staff/members.
  • Strong proficiency in the use of standard office equipment and desktop applications, including but not limited to MS Word, Excel, Kontent.ai, AMS (phone log and database base updates), EBX, Outlook, PowerPoint, Calendar Creator, Power Bi.
  • Excellent customer service and administrative skills.
  • Typing skills: 50 wpm.
  • Ability to manage changing priorities, pay close attention to detail, and produce an accurate work product under minimal supervision with multiple distractions.
