Position Summary:
As a Real Estate Administrative Coordinator, you will play a crucial role in facilitating communication between the managing broker and clients, managing schedules, and assisting with administrative functions. Your responsibilities will include organizing property showings, coordinating open houses, and handling real estate documentation. We are looking for an individual who is detail-oriented and adept at problem-solving in a fast-paced environment.

Compensation:
$30,000 - $45,000 annually

Key Responsibilities:

  • Adapt to the needs of the real estate office and perform additional administrative duties as required.
  • Manage phone calls, emails, and other inquiries, ensuring the broker is informed of critical details.
  • Act as a liaison between the supervising broker and clients.
  • Input client information into a streamlined database system.
  • Conduct market analysis to assist in property valuation.
  • Educate clients on fundamental real estate processes.
  • Verify and communicate property details to clients.
  • Handle calls during business hours and occasionally after hours.
  • Work schedule: 9:00 AM – 6:00 PM, Monday to Friday (with some weekend availability).
  • Possess copywriting skills or a background in creative writing.
  • Enter property listings into the MLS.
  • Send introductory emails to potential leads and follow up with pertinent questions.
  • Filter incoming emails effectively.
  • Coordinate meetings using Google Calendar.
  • Follow up with potential clients to gather necessary information and schedule meetings.
  • Send thank-you emails to prospective buyers after appointments.
  • Set up MLS searches for clients post-meeting.
  • Schedule property showings and document all notes in our database.
  • Manage lead prospects and update their status in Google Sheets.
  • Create and send referral agreements for signatures.
  • Communicate with referral agents regarding leads.
  • Prepare and send necessary broker documents for signatures.
  • Install and remove lock boxes and listing signs.
  • Deliver and collect keys or documents from relevant parties.
  • Obtain quotes, arrange repairs, and schedule inspections as needed.
  • Compile and distribute weekly/monthly reports to ensure team goals are met.
  • Provide exceptional customer service to enhance client satisfaction.
  • Optimize property listings on various platforms.
  • Create marketing materials, including brochures and flyers.
  • Plan events and manage client mailers.
  • Check and respond to business emails as necessary.
  • Assist with lead management and customer experience initiatives.
  • Support the creation of blog content for various platforms.

Qualifications:

  • Strong communication skills to interact effectively with clients and team members.
  • Proficient in Microsoft Word, Excel, and Multiple Listing Service.
  • Experience in handling confidential information and meeting strict deadlines.
  • Preferred experience in the real estate sector.
  • High school diploma required; a valid Real Estate License is necessary.
  • Familiarity with real estate contracts and transactions.
  • Excellent written and verbal communication abilities.
  • Ability to build rapport with clients and work collaboratively with teams.
