This position is responsible for performing a variety of administrative support or specialized administrative duties for a department, region, site, group or individual executive including calendar maintenance and scheduling, phone responsibilities, greeting visitors, travel arrangements, expense reports, presentation preparation, meeting coordination, budget preparation and reporting, recordkeeping, and other activities.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES

  • Provides administrative support to organization/department. Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare. correspondence, reports, presentations, agendas, minutes, etc.
  • Receives, screens and directs incoming calls, visitors, mail and email.
  • Supports gathering and/or maintaining files, records, calendars, and diaries.
  • May assist in arranging business travel, coordinate meeting arrangements, and/or track expenses.
  • Supports the communication between executives, managers, staff, customers, and visitors.
  • Assists in research of complex information in preparation for meetings and special projects.
  • May assist in drafting responses to correspondence, collect and compile information for special projects, or compile reports as required.
  • Supports the distribution and inventory of office supplies as needed.
  • Participate in other projects or duties as assigned.
SUPERVISORY RESPONSIBILITIES

KNOWLEDGE, SKILLS AND ABILITIES
  • Possess organizational skills to manage multiple tasks, prioritize work effectively, and meet deadlines.
  • Demonstrated ability to plan and coordinate schedules, meetings, appointments, and travel arrangements efficiently.
  • Effective verbal and written communication skills to communicate across all levels of the organization.
  • Demonstrated ability to use discretion and maintain confidentiality.
  • Strong attention to detail.
  • Familiarity with Microsoft Office Suite products including Outlook, Excel, Word, and PowerPoint.
  • Demonstrated ability to complete complex assignments requiring significant judgment, initiative, and problem solving skills.
  • Must be flexible and adaptable to handle changing priorities, deadlines, and unexpected situations.
EDUCATION AND TRAINING
  • High School Diploma required.
  • Zero (0) plus years of experience.
  • Or equivalent combination of education and/or experience.
Pay: $17.00-$19.21 an hour
