Patriot Environmental Services is seeking a proactive and organized Business Development Executive Assistant to provide comprehensive support to our growing Business Development team. This position serves as the primary administrative point of contact for the business development team and to our President. The ideal candidate must possess excellent administrative skills, strong communication abilities, and a keen eye for detail. The right person will also help guide projects as directed by the President which may include customer correspondence, onboarding initiatives, marketing, and vendor relationships. This role requires the ability to multitask effectively and contribute to the success of business development growth objectives. This position reports to the President with the ability to work remotely. Some travel may be required. Essential Duties / Responsibilities * Administrative Support: Provide administrative assistance to the business development team, including managing calendars, document management, expense tracking, scheduling meetings, agenda preparation, and arranging travel logistics. * Proposal & Presentation Preparation: Assist in the team with the creation of project proposals, presentations, and other documents required for business development activities. * Database Management: Accurately enter leads into the CRM. Maintain and update databases of clients, prospects, and business contacts, ensuring data accuracy and completeness. * Contract Review: Meticulously review agreements for completeness and accuracy prior to execution and archiving, promptly alerting BD Representatives and President when contracts deviate from policy. * Communication: Serve as a liaison between the business development team and internal/external stakeholders, facilitating communication and ensuring timely follow-up on inquiries. * Event Coordination: Assist in planning and coordinating events, conferences, and networking activities to promote business development initiatives. * Reporting: Prepare regular reports on business development activities, including pipeline updates and performance metrics. Knowledge, Skills, and Abilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily: * Bachelor's degree in business administration, marketing, or a related field preferred. * Previous experience (5+ years) in an administrative role supporting a C-Suite level executive, preferably in business development or sales is required. * Strong organizational, time management, and communication skills are essential. * Meticulous attention to detail and accuracy in handling documentation, and correspondence. * Ability to adapt to changing priorities and work effectively in a fast-paced environment while remaining self-motivated * Strong problem-solving skills with the ability to identify issues and propose solutions. * Collaborative mindset with the ability to work well in a team environment. * Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook. Experience with Adobe Creative Suite and CRM software is highly desirable.
