The Administrative Assistant position performs technical administrative level support work and expeditiously executes and oversees the completion of all assigned projects and duties for the Office of Community Partnerships and the Department of Community Resources & Services.
**STARTING SALARY HIRING RANGE**:
**$27.88- $31.46**

**CLASS DESCRIPTION**
Performs senior technical level administrative support work, which may include supervisory responsibility, under general supervision from an administrative or technical superior. Work typically involves administrative, technical and para-legal work providing staff assistance to various Boards; or administrative secretarial or constituent services work assisting the County Executive, the State's Attorney, the Chief Judge of the Fifth Judicial Circuit, Chief of Staff or the Chief Administrative Officer. Assumes responsibility for clerical procedures and office operations; maintains executive calendar and appointments. May supervise a support staff. Work at this level may include independent responsibility for a difficult and complex administrative or clerical process not requiring the attention of a professional or technical expert.

**ESSENTIAL DUTIES AND RESPONSIBILITIES**:

**General Administrative Support**:
- Provides administrative support for meetings and events including but not limited to managing meeting logistics; scheduling assistance, room reservations, coordinate food/refreshments, sending/printing materials, set-up/breakdown, greeting attendees; and attending meetings to take attendance, recording accurate meeting minutes, and providing support-as assigned.-
- Updates the Office of Community Partnerships website as directed.-
- Coordinates the timely routing of Professional Services Agreement contracts for execution.-
- Assists as required at various Department functions and serves as back-up for other administrative staff upon request.-
- Participates in activities related to Emergency Management as requested, including working outside normal business hours.**Administrative Fiscal and Grant Support**:
Provides administrative support with fiscal matters including but not limited to purchasing materials and process payments using procurement card (PDQ card); process assigned payments for execution (including entering payments into SAP, working with program staff to resolve any issues, saving and filing payment records); managing PDQ reporting for OCP expenses (track PDQ expenses, organize receipts, and submit PDQ reports as required), providing payment reports as requested; and responding to payment inquiries from vendors.Provides administrative support for grant award process including but not limited to tracking receipt of required documents, contacting grantees who are delinquent on submission of required documents, and facilitating the submission of outstanding required documents; populating information into grant award documents; and routing contracts for execution (including entering contracts into the routing system, tracking progress, providing progress updates as requested, working with program leadership to resolve any issues, and sending reminders to signatories.-
