We seek a highly organized and proactive Executive Assistant (EA) to support our office needs and contribute to the company's efficiency.
**Job Overview**:
**Key Responsibilities**:
Calendar Management: Organize and manage big databases of vendors, production team members, manage the CEO's and COO's schedules, including meetings, appointments, and travel arrangements, open and close the office, take care of all the necessary office supplies, be the main contact person for sales department and production team, take care of smooth operation of all of the departments, sales department assistance in the form of cold call database collection and creation, HR skills for paperwork and documentation organization.
**Meeting Coordination**: Prepare agendas, attend meetings, take minutes, and follow up on action items to ensure completion.
**Travel Arrangements**: Coordinate travel plans, including flights, accommodations, transportation, and itineraries.
**Event Planning**: Assist in planning and organizing events, meetings, and conferences in house and out.
**Production Plannin**g: technical and managerial aspects of all the shootings and productions.
**Social Media Support**: Assist with client's social media presence and activities. Be in charge of postings and post production schedule.
**Ad-Hoc Tasks**: Perform other duties to support the Top Managment and executive team.
**Qualifications**:
Experience: Minimum of 5 years of experience as an Executive Assistant, preferably in marketing and sales industries.
**Skills**:
- Exceptional organizational and time management skills.
- Excellent written and verbal communication abilities.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software.
- Ability to work independently and handle multiple tasks simultaneously.
- Attention to detail.
