**Job Responsibilities include, but not limited to**:

- Answering phones, taking messages and routing calls
- Providing Executive support as required
- Manage Calendars for the Executive Team - scheduling and confirming appointments
- Assist with appointment and meeting preparation (may include taking minutes)
- Supporting sales staff and taking leads
- Assist with preparing Proposals / Addendums / Contracts / E-Sign documents
- Assistance in Selections Coordination - getting to know our product lines and keeping samples, catalogs, inspirational photos organized
- Customer support - communicate and follow up with customers as needed
- Communicate with Job Supervisor any customer issues
- Schedule and communicate with contractors, engineers, architects, sub-contractors, municipality, and townships to obtain/ send information regarding current or upcoming jobs, materials and paperwork, permits, inspections
- Tracking and calling PA1’s, port-o-potties, dumpsters
- Assist with ordering, tracking, and receiving material orders from suppliers
- Zoom - setup zoom calls with customers as needed
- Filing, scanning, and organizing paperwork
- Assist Executives, Job Supervisors, Office Manager, and other personnel as assigned
- Ability to learn new company software/systems as needed
- Assist with the ordering of office supplies
- Task management - ability to efficiently organize and carry out miscellaneous tasks assigned to you

**Skills**:

- Proficient in Microsoft Office (Word, Excel, and Outlook)
- Adobe e-sign experience a plus
- CRM software experience a plus but not necessary - we are willing to train
- Experience Submitting Permit Applications a plus, but not required
- Construction/Landscaping knowledge a plus, but not required
- Typing skills
- Attention to detail and accuracy in data entry and record-keeping
- Ability to solve problems and manage time effectively
- Ability to work independently and as part of a team
- Ability to work in a fast-pasted environment, maintaining a positive attitude
- Organizational and multi-tasking skills are essential
- Flexibility to adapt to changing priorities and deadlines
- Dependable
- Willingness to learn
