It's imperative that the Governance Coordinator embodies a strong sense of positivity and professionalism, as they will frequently engage with the dedicated volunteer leaders of the organization.

**About SAEM**: The Society for Academic Emergency Medicine (SAEM) is the premier organization for developing academic leaders in emergency medicine education and research and for creating and disseminating content with the greatest impact on emergency care. We are dedicated to the improvement of care of the acutely ill and injured patient by leading the advancement of academic emergency medicine through education and research, advocacy, and professional development. SAEM staff supports these healthcare professionals by promoting membership, resources, and events to maximize their access to continuing education and career opportunities.

**Duties and Responsibilities of the Governance Coordinator**:

- Assist in facilitating the Society’s governance processes:

- Manage committee appointments and board nominations and elections in accordance with the association’s bylaws, policies, and timelines
- Propose and implement process improvements as necessary
- Lead the administrative tasks for the governance staff team:

- Draft governance-related communications
- Update and maintain the annual timelines and core documents
- Order annual gifts and supplies
- Manage and organize the Academy awards and recognition timeline, communication, ordering, and shipping
- Coordinate logistics for volunteer leaders travel to all standard annual meetings and retreats
- Act as a dedicated staff liaison for SAEM committees and an academy:

- Coordinate pre
- and post-meeting logistics
- Schedule both in-person and virtual meetings
- Compile and prepare agendas, meeting materials, and minutes
- Track and facilitate motions, goals, objectives, and deadlines
- Oversee projects aligned with committee objectives (e.g., surveys, webinars, website updates, detailed spreadsheets)
- Serve as a knowledgeable resource for volunteer leaders, offering guidance and support
- Keep all volunteer members informed of the latest opportunities and announcements
- Travel and provide staff support for the annual meeting
- Perform other duties as assigned
- Preferred: Bachelor’s Degree and/or prior experience in non-profit or association settings
- Preferred: 2+ years of experience working with association governance or volunteer membership/leadership structures
- Proficient in Google Workspace (Docs, Sheets, Forms), Microsoft Office (Word, Outlook, Excel, PowerPoint), survey management, and virtual meeting platforms
- High-energy, versatile, and adept at multitasking; self-directed problem solver with strong analytical and organizational skills, maintaining consistent attention to detail
- Willingness to travel to conferences and meetings as needed
- Capable of effectively managing confidential, sensitive, and urgent matters
- Enthusiastic about making a substantial contribution to the organization's overall success
- Flexible in managing competing time requirements and changing deadlines
- Positive team player who takes accountability for initiating and coordinating projects through completion
- Excellent verbal and written communication skills, adept at interacting with staff, members, and external contacts
- Ability to provide excellent customer service to a diverse range of internal and external stakeholders
