**Position Overview**:
**Essential Functions**:
Under the direction of the Office Administrator III for the Administrative Law Section of the Human Rights Commission, performs a variety of complex clerical duties related to the processing of complaints of violations of the Illinois Human Rights Act. Works closely with the Administrative Law Judges and the Chief Law Judge, receives, opens incoming mail. Prepares replies to non-technical inquiries, answers telephones and screen calls for the Human Rights Commission.
- Responds to inquiries requiring specialized knowledge of legal operations and legal terms in person and by phone, exercising discretion and judgement in referring sensitive issues, complex technical matters, and policy concerns to appropriate managers. Provides information concerning available services; clarifies legal process and procedure to clientele. Directs incoming clientele to the appropriate person when unable to assist them. Responds to inquiries regarding case status. Assists clients with research regarding published Human Rights Commission Recommended Orders and Decision and Final Orders. Acts as a liaison between the clientele and the judge or legal counsel.
- Keyboard, photocopies, files, and serves miscellaneous orders, and other documents vital to the processing of cases during the public hearing phase of the Commission proceedings. Proofs work involving legal terminology for content and contest of information as well as clarify and accuracy. Updates the Commission Orders and Decisions and maintains the appearance of the library and reception area. Delivers boxes of copy paper to various stations throughout the Commission. Maintains paper drill, scanners, fax machines, shredders, photocopy equipment and other office equipment. Carts unused office equipment and furniture to storage areas; maintains and reorganizes storage areas as necessary.
- Translates and interprets, both orally and in writing, for Spanish speaking individuals regarding services available and the proper completion of forms.
- Assists the Office of the General Counsel with entering Request for Reviews and creating new files in case management system. Serves the Department of Human Rights and the parties with Notice of Filings and Orders.
- Records in the Transcript receipt log all incoming transcriptions and prepares transcript sign out sheets for parties wishing to check out transcripts. Records all requests for copiers of files in the copy log and contacts the appropriate copy service. Keeps accurate records of visitor signs in sheet and phone calls received.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

**Minimum Qualifications**:
1. Requires knowledge, skill, and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.

2. Requires skills in keyboarding accurately at 30 wpm.

3. Requires fluency in the Spanish language; writing, speaking, and translating.

**Preferred Qualifications**:
1. Prefers Extensive knowledge of office practices, procedures, and programs

2. Prefers experience utilizing case management software.

3. Prefers Extensive knowledge of composition, grammar, spelling, and punctation.

4. Prefers Elementary knowledge of agency programs, rules, and regulations.

5. Prefers Working knowledge of Microsoft programs.

**Conditions of Employment**:
1. Requires ability to list and carry up to 20 pounds.
