**Position Summary.** This Executive Assistant role supports both the Director of Program Services and Director of Quality Enhancement. The Executive Assistant’s charge is to be proactive and strategic in supporting both Directors by spearheading projects, managing important assignments, and tracking their calendars and all other administrative details. Tasks will vary based on the needs of the Directors and the organization. All work must be completed with a high level of confidentiality, efficiency, accuracy, flexibility, and positivity. Most work will be performed at Jubilee’s office in Kensington, MD during business hours with some evening and weekend duties. This is a full-time salaried exempt position starting at $72,000.

**Responsibilities**
- Assist with department-related issues and be available to staff of Program Services (PS) and Quality Enhancement (QE) with administrative tasks that include updating changes in schedules and caseloads, sorting mail and medications, filing, and acting as an emergency back-up for program needs. These duties require daily in-person work at the office.
- Manage calendars for the Director of Quality Enhancement and Directors of Program Services.
- Assist the operations team with the organization and maintenance system of filing/purging client files and information.
- Coordinate meeting management, including booking conference space, sending and confirming invitations, preparing agendas and handouts, serving as host for remote meetings, managing presentation materials on laptop and smart TV for in-person meetings, taking notes, distributing action items, ordering food, and working closely with the Admin Staff (Admin, transportation, Information Technology) to resolve any outstanding issues.
- Manage and update the nurse's assignment schedule and the On-Call schedule.
- Coordinate and attend meetings, taking minutes and disseminating materials, as needed.
- Coordinate travel, order supplies, and reconcile and submit credit card and expense reports.
- Acquire and maintain all required training for the position, including medication administration.
- Anticipate and proactively suggest ways to enhance efficiency or quality of work and implement when appropriate.
- Be a team player across the organization and participate in regular meetings within the PS and QE departments, the management team, and more.
- Other duties as assigned.

**Qualifications**
- Associate’s degree or equivalent coursework.
- 2-3 years of related professional experience.
- Excellent interpersonal and written communication skills.
- Ability to anticipate needs, solve problems, be proactive, and deliver excellent customer service.
- Experience supporting more than one executive preferred.
- Organizational skills and attention to detail.
- Discretion and ability to safeguard confidential information.
- Passion for Jubilee’s mission and; desire to work with and learn from people who have intellectual and development disabilities.
