**Position Overview**:
The Fraternity’s General Office is in Baltimore, Maryland and has responsibility for managing the daily operational and programmatic functions of the fraternity, which include budget and finance administration, membership services, engagement and support, public relations, marketing and communications, event and program coordination, vendor and partner relations, board of directors and national officer management and support.

As part of the Administrative Department, the Administrative Assistant collaborates with the Executive Assistant at in the General Office located in Baltimore, MD. The Administrative Assistant provides clerical and administrative support to the General Office Team and Fraternity Leadership, while also providing customer service to the membership daily. The individual in this position has the responsibility for fielding all direct calls to the main phone line and supports troubleshooting and customer service requests. The Administrative Assistant will coordinate access to various project management and workflow platforms and has the responsibility of greeting all guests and visitors. Within this capacity, the Administrative Assistant is expected to provide continuous, high quality customer service to all internal and external stakeholders and the community at large.

**Primary Duties & Responsibilities**:
The Administrative Assistant performs the following:

- Secure the opening and closing of the building daily
- Perform general clerical duties to include, but not limited to photocopying, faxing, mailing and filing
- Receives all visitors and deliveries (FedEx, UPS, DHL, USPS, Staples, etc.)
- Sorts, logs, and distributes daily mail and deliveries
- Provides scheduling and logístical support to the administrative team
- Receives work assignments and/or special projects under the direction of the Executive Assistant
- Provides administrative support to various departments during special assignments
- Assists with handling of basic membership functions, such as chapter verification, grand tax payments, updating member info in Alpha MX accounts, etc.
- Manages office supply inventory and replenishes as needed
- Other duties as assigned

**Qualifications & Required Skills**:

- High school diploma required; Associate degree preferred
- Administrative and/or customer service experience preferred
- Maintain a professional appearance and manner
- Knowledge of administrative and clerical procedures
- Advanced computer skills including Microsoft Word, Excel, Outlook, Access and PowerPoint
- Proficient in the use of various forms of technology
- Knowledge of basic accounting skills needed
- Knowledge of customer service principles and practices
- Strong attention to detail; excellent organizational skill; ability to manage multiple priorities and meet deadlines
- Ability to incorporate feedback for immediate improvement
- Excellent interpersonal, written, and verbal communication skills
- Ability to work with challenging personalities
- Discretion and the ability to maintain confidentiality with sensitive information
- May require working special events, conferences or meetings as needed
- Ability to work night and weekends as needed

Pay: $38,864.34 - $40,000.00 per year
