Safe Place for Youth (SPY) is the leading service provider for youth experiencing or at-risk of homelessness in West Los Angeles. Founded in 2011, our agency offers trauma-informed, low barrier programs that support young people in exiting the streets and achieving stability so that they can thrive, not just survive. Our robust continuum of care includes street outreach, drop-in services, health and wellness programming, case management, education and employment services, and housing programs.

**ABOUT THE ROLE**:
**WHAT YOU’LL DO**:
**Recruitment Support**:

- Assist in the recruitment process by posting job ads, setting up background process.
- Support the onboarding process for new hires, which includes preparing necessary documents and coordinating orientation sessions.
- Employee Record Maintenance and Safety Records:

- Maintain and update HR files and databases with employee contact information, schedules, and attendance records.
- Ensure accurate and up-to-date safety-related documentation, such as inspection reports, incident logs, and training records, to support regulatory compliance and internal safety reviews.

**HR Administration**:

- Assist in the preparation and administration of performance reviews.
- Provide clerical support to HR executives and maintain comprehensive employee records, both digital and hard copy.

**Training and Development**:

- Identify training needs, develop programs to meet these needs, and monitor the effectiveness of training initiatives.
- Organize and conduct safety training sessions, ensuring all staff are educated on safety practices, emergency procedures, and proper use of safety equipment.
- Incident Investigation and Reporting:

- Investigate accidents and incidents to determine their causes.
- Compile detailed reports on findings and recommend preventive measures.

**Emergency Response Planning**:

- Develop and maintain emergency response plans, including evacuation procedures and emergency actions.
- Coordinate emergency drills to ensure staff readiness and awareness.
- Communication and Collaboration:

- Host the weekly safety meeting
- Act as the primary point of contact for all safety-related issues.
- Collaborate with management and staff to reinforce safety measures and promote a safety-conscious culture within the organization.
- Other duties and responsibilities as assigned to support the mission of the program and organization.

**Requirements**:
**WHAT YOU’LL NEED**:
**Qualifications**
- Associate's degree in Human Resources, Business Administration, Occupational Safety, or a related field is **preferred**.
- Minimum of 2 years of experience in an administrative, human resources administrative or safety role, preferably in an administrative or assistant capacity is **required**.

**Skills**:

- Proficient in using HRIS systems and Google Suite, particularly Excel for data management and reporting is **preferred**.
- Knowledge of HR and safety regulations and standards is **preferred**.
- Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Strong communication skills, both written and verbal, with an ability to clearly convey information and instructions.

- Detail-oriented with a critical eye for accuracy and compliance in documentation.
- A proactive approach to problem-solving and conflict resolution.
- Ability to maintain confidentiality regarding personnel and company information.

**WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS**:

- Prolonged periods of sitting at a desk and working on a computer.
- Changes in the environment, such as the office or outdoors.
- Physical effort/lifting, such as sedentary
- up to 15-20 pounds at times.

**SPECIAL CONDITIONS**:
**Mandated Reporting Requirements**: The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 Revised July 21, 2017 as a condition of employment.
